Position: Full-time
Duties:
- Manage the reception desk at Storck Barracks and Main ACS Center
- Track ACS service requests, maintain client records, and handle sign-in logs for customers and class rosters
- Attend reception desks continuously during operating hours
- Track and refer ACS classes, trainings, and meetings, and update the ACS monthly calendar and client logs
- Measure customer satisfaction using the ICE website and ensure a minimum satisfaction rate
- Keep an updated resource guide/directory and ensure it has current information
- Ensure cleanliness and organization of the reception area
- Provide monthly statistics and reports on ACS activities and marketing materials
- Handle all clerical tasks according to SOP and regulatory guidance
- Prepare and manage meeting minutes and correspondence and assist in RACC meetings
- Maintain Relocation Readiness files and documents and manage the reservation calendar for ACS classrooms
- Compile and track ACS Welcome Packets for arriving personnel
- Operate the ACS Lending Closet, track overdue items, maintain and report on inventory, and keep the Lending Closet clean and organized
- Assist with marketing and distributing ACS materials, maintain a list of marketing locations, and ensure marketing materials are current and appropriately posted
- Maintain inventory of ACS handouts and resources and ensure timely data entry
Requirements:
- Strong communication and organizational skills
- Proficiency in Microsoft Office
- Ability to work collaboratively in a team environment
- Knowledge of military relocation processes and ACS programs is a plus
- At least a two-year degree in social sciences with at least one year of experience in front desk administration and reception, or direct experience working with ACS or similar military family programs (in lieu of education)
- Must be fluent in English and German
