We achieve this through building community and connectedness among our people and focusing on Individual and Team Health.Reporting to the Sr. Manager, Workplace Experience (EMEA), the Workplace Experience Manager will:Lead and oversee all workplace related activities and projects in Cologne and Warsaw. Hold primary responsibility for all facility related efforts, the upkeep and maintenance services for the sitesBe responsible for maintaining the day-to-day building operations to ensure a safe and efficient work environment at the lowest possible operating costs while maintaining appropriate company standards. Foster a professional working environment by promoting the highest standard of business ethos and strategically ensuring the most effective use of resources in support of business objectives.Manage the working environment efficiently and to a high standard in collaboration with the local Workplace Experience teams as well as suppliers and contractors.Develop and maintain solid relationships with partners throughout the local and global organization; contribute to the Company’s success by understanding the culture, and reflecting company standards in all operations of the Workplace Experience team.Responsibilities:Manages the day-to-day service delivery to Cologne and Warsaw offices, ensuring the highest standards are consistently attained. Manage and maintain all relevant hard and soft facilities services in buildings with the aim of providing the best possible experience at work.Support the maintenance of site strategic occupancy and project planning pipeline for future site needs.Assist in the redesign and oversee refurbishment and renovation of office spaces to enhance collaboration.Ensures that assigned projects meet their goals and contribute to the organization’s overall success by focusing on time management, budget control, and effective communication.Manages the operational budget for the locations, including monthly analysis and forecasting. Seeks to deliver a ‘best value’ service without compromise to quality or delivery standards.Manages vendor sourcing & relationships to keep costs under budget limits while retaining a high level of service and attention to detail in all products received.Is responsible for general administration tasks, invoice processing and purchase order processing.Establish and nurture effective relationships with stakeholders, ensuring their satisfaction with service delivery. Ensure effective communication with internal clients to build constructive relationships based on support and trust.Recruitment, management and development of WE team, including performance management, coaching and mentorship.Quickly and efficiently responds to all inquiries and complaints, ensures timely and quality service delivery to every employee, follows up with employees to ensure complete customer satisfaction.Takes accountability for maintaining all statutory standards, with the aid of a Health & safety instructor. Fully understands the implications of Health and Safety in relation to the operating environment and the impact that this may have on occupational health, manages the risks and liabilities.Delivers projects without direct supervision, manages workload and updates stakeholders on progress at appropriate intervals; ensures projects are completed on-time and in-budgetOrganizes events and game launches working closely with local stakeholders and external partners to conceptualize and deliver on key events both on and off-site.Is the point of contact in case of emergency/unplanned situations.Skills and Abilities:Operational Workplace Management experienceClient service: ensure a high-quality delivery to employees. Ability to balance employee’s requests with the company objectives.Strong organization and planning skills: ensure on-time delivery, rigorous follow-up. Prioritize tasks.Personal effectiveness: has a ‘can do’ mentality, self-assured, proactive, open and flexible. Has the confidence and credibility to advise senior management. Works effectively within a matrix organization and rises to the challenge of ambiguity. Communication: able to establish effective relationships at all levels within the organization, initiate networks and proactively exchange information. In-depth knowledge of a broad range of workplace, technical and support processes; comfortable working in a fast-paced environment and to very tight deadlinesExperience of managing Health and Safety in a similar environment.Financial and business acumen and budget management experienceProactive self-starter who needs little direction to initiate activities.Excellent level of German and English both spoken and written.
