Why We Need Your Talents:
The Executive Administrative Assistant III is responsible for providing full service administrative support to the General Counsel and other Executive Management staff. The Executive Administrative Assistant III will assist the Office Manager in coordinating all office services; managing daily schedules, managing office equipment, answering multiple phone lines, routing calls, composing general correspondence, receiving guests to the office, coordinating travel arrangements, assisting with budget preparation/financial reports, taking notes/meeting minutes, records control, and special administrative and clerical projects.
Responsibilities
Where You’ll Make an Impact:
- Assist with the responsibility of managing and efficiently operating executive office equipment including phones, copiers, smartphones, and personal computers.
- Analyze office methods daily to improve workflow, simplify reporting procedures, or implement cost reductions.
- Set up and coordinate meetings for assigned and other executive staff, including room setup of audio-visual equipment, conference phones, and ordering refreshments.
- Research and analyze data to prepare reports to support General Counsel sponsored/related projects and initiatives.
- Answer department phone lines, greet guests, and maintain records of calls and visitors; take concise messages and distribute them timely to appropriate personnel.
- Act as a focal point for vendors, suppliers, and community organizations seeking to and currently doing business with the company.
- Provide warm and genuine service to team members and guests, while delivering prompt communication and follow-up.
- Maintain accurate records.
- Use discretion when handling all tasks.
- Serve as backup to Executive Assistant/Office Manager.
- Perform general clerical and administrative office duties.
- Protect operations by keeping information confidential.
- Other duties as assigned.
Skills to Help You Succeed:
- Proficient in the use of modern office equipment and software packages including personal computers, Microsoft Word, PowerPoint, and Excel.
- Ability to solve complex problems and perform assigned duties under frequent time pressures in an interruptive environment.
- Ability to analyze and interpret departmental needs.
- Ability to maintain mental concentration for significant periods of time.
- Ability to be flexible with work schedule (position may require extended hours, including evenings and weekends).
Qualifications
Must-Haves:
- Five (5) to Seven (7) years of experience in a high-volume executive office environment.
- Two-year associate’s degree in secretarial science/office management or a combination of experience and education in an equivalent field.
- Must be able to obtain a Maryland State Gaming License as required by the Maryland Lottery Gaming Control Agency.
Physical Requirements:
- 75% sitting, 25% standing.
- Constantly viewing computer screen for hours at a time throughout the workday.
