We are looking for a highly organized and detail-oriented Office Administrator to oversee daily operations and provide essential administrative support. This part-time, in-office position (24 hours per week) includes office management, administrative tasks, and assisting the team to ensure efficiency and smooth workflow.

Key Responsibilities

  • Provide administrative support, including correspondence, mailing, and filing.
  • Process incoming invoices, coordinating with accounting and procurement to ensure accuracy.
  • Oversee office services such as cleaning, repairs, and maintenance.
  • Manage office supply procurement and inventory.
  • Handle mail and logistics, including international shipments and customs documentation.
  • Coordinate travel arrangements, including booking accommodations and managing visitor logistics.

Qualifications & Skills

  • High school diploma or associate’s degree required.
  • Previous experience as an office assistant or in a similar role.
  • Strong organizational skills and attention to detail.
  • Professional demeanor with excellent customer service skills.
  • Ability to handle sensitive information with confidentiality.
  • Strong communication skills and a warm, approachable personality.
  • Proficiency in Microsoft Office (Word, Excel, Outlook, etc.).
  • Fluency in English and German required.
