Receptionist

Main Tasks and Responsibilities :

Telephone

  • Correctly answering calls, relaying of messages & call forwarding
  • Handling of information queries & reservation requests
  • Forwarding messages with correct information
  • Carefully screening of calls,
  • preventing unnecessary interruption of staff
  • Maintain privacy of the staff
  • Represent the ICEJ with integrity

Security

  • Present at Front desk at all times
  • Operate the security screens and elevator
  • Screen all visitors/deliveries
  • Correct visitor identification
  • Locking front access door, switches & air conditions on/off in Reception area and Chapel Advising relevant departments of workmen on duty

Hosting

  • Represent ICEJ well, smiling and being friendly
  • Make visitors feel welcome
  • Organizing group visits containing 10 or less visitors
  • On hand to ensure smooth running of all reception events. – May include evening functions
  • Clarify ICEJ ministry to guests, entertain them with a video presentation in the Chapel while contacting relevant Dept Head/VP
  • Maintain the set up for refreshments
  • Seat expected guests and VIP’s at Reception Area; offer them some coffee/cold drink, notify the VP responsible
  • Inform VP Operation of any meetings to avoid double bookings
  • Inform Interior Co-Ordinator, Resources, and Receptionists about expected groups
  • Arrange catering for periodic staff events

Marketing

  • Assure that each guest leaves well informed about the Embassy
  • Provide up-to-date material and information on the bookshelf and table at Reception
  • Ensure this bookshelf is kept tidy & well-stocked
  • Encourage visitors to become ambassadors for ICEJ

General Assistance

  • Dove tailing with VP Operations in problem solving & task completion
  • Advise VP Operations of maintenance needs
  • Maintain Reception area & ensure that it and the passages are kept free from clutter
  • Assist in mail outs
  • The Reception Area & Chapel are organized & in place
  • Maintain a clean, fresh smelling atmosphere (fresh air in summer; warm, cozy ambience in winter)
  • Reception Desk neat & orderly

Job Requirements, Skills and Qualifications :

  • Experience and knowledge of greeting & working with the public
  • Good knowledge in Microsoft Office programs (Word, Excel, Outlook, etc.)
  • Basic secretarial skills (answering the phone, greeting guests, etc.)

Maintenance Technician – Operations Department

Maintenance Technician

Main Tasks and Responsibilities :

  • Ensure a well-equipped, organized workshop, i.e., to check that all basic maintenance equipment is properly maintained.
  • Check that the Embassy offices are well maintained, painted, repaired and that the storages are organized properly.
  • Ensure miscellaneous electrical & plumbing maintenance and the installation of equipment as required. Assist the Facility and Infrastructure Manager with carpentry and related handyman work, guidance in staff storage facilities as well as maintenance of water & kitchen supplies.
  • Assist the Facility and Infrastructure Manager in Staff Housing Maintenance, i.e., providing backup to staff apartment need, help and advice as required.
  • Check and make sure that the Logistics vehicles are used efficiently and are available for airport collections and the movement of equipment.
  • Coordinate all logistics pertaining to the annual Feast of Tabernacles
  • Provide a full supporting role in ALL aspects
  • Be responsible and take ownership of tasks as allocated by the Facility and Infrastructure Manager.

Resources Coordinator – Resources Department

Resources Coordinator

Main Tasks and Responsibilities :

  • Operates the onsite store, the online store and sells ICEJ merchandise and communicates department wide to ensure advertisement.
  • Prepares online orders for shipping.
  • Communicates worldwide with all customers, vendors and ICEJ branches.
  • Does research and analysis on new market items and decides which to order.
  • Ensures the bookkeeping including inventory and end of year closing.
  • Prepares a mobile store for all conferences (e.g. Feast of Tabernacles, Envision, ILC, etc.) in Israel that are connected to ICEJ.
  • Decides on which items will be ordered and orders them.
  • Decide on prices, new vendors etc. based on the approved framework for price definition and vendors approval.
  • Decides which items will be advertised in the online store, in the ICEJ print media and on ICEJ social media.
  • Develops and improves internally all Embassy Resources related processes.
  • Does ongoing training to complete the Microsoft Office and Salesforce online courses if it is required for the job

Marketing Strategist – Marketing Department

Marketing Strategist

We are seeking a creative and passionate Marketing Strategist who will help manage social media accounts (Facebook, Instagram, YouTube, LinkedIn, Twitter, Threads, and TikTok), grow the current database, help perform market research and online algorithms periodically, and be able to create marketing collaterals that are well designed and appealing to the Embassy’s audience. You love creating stories, crafting content, and running out-of-the-box ideas that show off the Embassy’s heart for the nation of Israel, its people, and God’s prophetic plan for them.

You will report directly to the Head of Marketing, and work closely with the Publications, and TV departments. In the absence of the Head of Marketing, the direct superior will be the Head of Media Department.

Main Tasks and Responsibilities :

  • Help plan, implement, and manage social media strategies in an iterative process that will help the overall growth of ICEJ’s digital footprint
  • Find modern ways to communicate and sharpen the message of the ICEJ on all online and offline platforms
  • Able to edit graphics, reels, and short videos for social media/offline collaterals
  • Schedule content for social media across all online ICEJ channels (Facebook, Instagram, LinkedIn, Twitter, YouTube, TikTok, Threads)
  • Able to quickly catch headline news around current affairs in the land and create consumable content for online channels on the spot, this requires working after core hours on some days
  • Help create effective strategies in acquiring new leads, converting cold ones, and maintaining warm ones
  • Work closely with other departments to achieve a streamlined approach to overall Embassy branding
  • Stay up to date with the latest technology, marketing, and growth best practices
  • Attend marketing or social media conferences, educational programs, and online courses to keep disciplines relevant
  • Contribute to the overall growth of the company

Job Requirements and Qualifications :

Admin Tasks:

  • Monitor the ICEJ media inbox and respond to basic queries, or forward to the relevant department for an appropriate response.
  • Emails distribution: Using Pardot and text/photos provided by the Publications Team, or the articles you write up, create & send emails to specific email lists twice a week or more frequently as determined by leadership.
  • Website: Ensure that the website is always updated with latest information. In relation to email campaigns or communication, create new pages as needed, upload weekly news reports, commentaries, Prayer schedules or Press Statement content etc.
  • Maintain file structures and content for shared work within Publications Department.
  • Maintain and update Publication’s content on "Teams" to help facilitate open/smooth communication between Publications and ICEJ branch offices.
  • Assist with maintaining an online library of photos.
  • Assist with general proofing of articles, magazine or any project being produced within the Media and Publications department.
  • General admin support for Head of Department and other related duties as assigned.

Writing:**

  • Write articles relating to ICEJ Aid and Aliyah initiatives, and on any other relevant content as required by Media and Publications.
  • At times accompany the ICEJ Aid department on project visits for the purpose of reporting on the project and submitting written content and photos for email distribution or magazine.
  • Write a general description of the magazine for electronic distribution.
  • Assist with posting content on social media if necessary.
  • ICEJ Events: Writing for bulk email communication, gathering content for stories, interviewing if required, obtaining quotations, sending information to social media for posting.
