We are seeking an Executive Team Secretary to join our prestigious customer within their Investment Banking Division. The role will be a contract to cover maternity leave for 12 – 18 months but may lead to other opportunities.
In this role, you will:
- Schedule and manage meetings across multiple time zones for senior leaders.
- Oversee and maintain senior team members\‘ business schedules, CRM systems, and electronic diaries.
- Coordinate complex domestic and international travel, including flights, hotels, car rentals, visa applications, and other travel needs.
- Process detailed expense reports and vendor invoices through Smaart and Concur while maintaining accurate records.
- Manage internal and external communication, including answering calls and setting up conference/video calls.
- Organise and maintain filing systems, ensuring easy access to key information.
- Provide absence cover and assist during peak workload periods to ensure seamless team operations.
What We\’re Looking For:
- Strong experience in a senior administrative or secretarial role, ideally from a corporate banking or financial services setting.
- Excellent time management and organisational skills with the ability to multitask and prioritise effectively.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and experience with CRM systems.
- Strong communication skills and a professional, client-focused attitude.
- Ability to work flexibly and support a dynamic, high-pressure environment.
- You must have fluent business German & English to be suitable for the role.
