Executive Assistant (m/w/d) to Managing Directors
As the Executive Assistant (m/w/d) to Managing Directors for the region Central Europe, you will act as the right hand to the leadership. You will play a critical role in ensuring smooth operations, effective decision-making, and cross-functional collaboration across the organization. Serving as the ‘go-to’ person, you will facilitate communication and solutions for 3DS executives, teams, and customers.
Role Description & Responsibilities
- Calendar and time management for the Managing Directors team, including organization of internal and external meetings, travel arrangements, and creation of related expense reports.
- Support managers in internal and external communication channels, including monitoring email inboxes and Outlook calendars, as well as communicating with customers, partners, and executive offices within our global organization.
- Support and manage the preparation of high impact presentations (e.g., for sales activities) and be involved content-wise.
- Actively organize and/or support internal and external events, including the creation of related eProcurement orders and management of invitation processes.
- Anticipate arising topics and stay organized in an exciting environment.
- Manage the interface between the managing committee and the board members (with headquarters in France), steering communication and internal processes within the organization and among the local team of assistants.
- Facilitate interactions within our organization as well as with other organizations to ensure a high quality of execution and service.
Qualifications
- Professional education as an Executive Assistant or comparable bachelor’s degree.
- 10 years + of experience in a complex Sales environment / IT industry preferred.
- Proactive and open-minded personality, flexible and out of the box mentality, high level of resilience and meeting high-performance demands, time discipline.
- Stress resistance, keeping calm, empathy, and maintaining a positive spirit.
- Quickness in mind and ability to learn and adopt quickly.
- Ability to quickly build relationships one-to-one and within teams and other organizations.
- Set priorities and manage completion of multiple requests from different sources.
- Experienced in expense reporting procedures within a given policy frame.
- Fluent in German and English; French is a plus.
- Ready to travel inside Germany.
