Job Overview The Event & Conference Coordinator role will support the Event & Conference Manager to plan, organize, prepare and executive our conferences, seminars and meetings. Including corporate, exclusive events for our members as well as the coordination of our annual large-scale event international, the World Department Store Summit (WDSS). Responsibilities Support the Event Manager with planning each event from start to finish successfully, understanding time constraints and securing adequate participation rates, smooth pre-run and executive of the event Monitor and coordinate administrative tasks related to each event (communication, delegate and speaker registration, logistics and payments). Draft and send external communication to members and delegates (invitations, reminder messages, confirmations, post-event follow ups). Coordinate hotel rooming lists Make follow up phone calls to members Prepare onsite event material (such as name badges, contact lists, evaluation forms) Contact vendors and suppliers Requirements Experience in Event, Project, Administration roles. Retail or non-profit industry experience would be an advantage Studies/Apprenticeship in Events, Hospitality or Administration Excellent written & spoken English skills (preferably native speaker or fluent C2 level) Strong attention to detail, passion for planning and excellent organizational skills Excellent computer skills in MS Office (especially Word, Excel, PowerPoint) Additional experience with event management platform and digital tools in an advantage High communication/interpersonal skills and customer-service orientation A multitasking team player who can work independently Proactive, flexible, adaptable and self-starting personality Willingness and ability to travel international once per year This role is ideal for a team member who enjoys working in a small team, a multi-cultural environment and is interested in retail.
