This position works out of our Wiesbaden site, Abbott GmbH in the Core Diagnostics division.
Primary Objective of Position
- Provide commercial operations coordination and executive business support to senior management in a function or area. Applies knowledge of the operation and an understanding of the principles and procedures in the area to the completion of complex tasks. Operates a wide variety of office equipment to provide support and service and drive cross-functional collaboration.
Major Accountabilities
- Composes, organizes and analyses data and information.
- Creates documents, charts, graphs, tables and presentations from source material.
- Verifies data accuracy and recognizes inconsistencies in the data.
- Coordinate and support cross-functional Area projects, ensuring clear timelines, accountability and stakeholder alignment.
- Support the preparation of commercial reviews, leadership meetings, workshops, and strategic discussions.
- Coordinate leadership calendars, business reviews, executive meetings, and key stakeholder engagements.
- Prepare meeting materials, briefing documents, presentations, and follow-up minutes.
- Responsible for implementing and maintaining the effectiveness of the quality system.
- Utilizes multiple network, and PC applications to complete tasks.
- Understands the interactions between operating systems and applications.
- May utilize unique, function specific applications to analyze data to make recommendations for management review.
- Uses standards and procedures to ensure documentation for processes meets standards.
- Audits documents to ensure compliance with operating and regulatory requirements.
- Recognizes discrepancies affecting compliance; recommends actions to resolve discrepancies.
- Understands compliance and regulatory implication of document, records, and files.
- Maintains complex documents files and audits systems used to generate data.
- Applies analytical techniques to resolve complex problems which deal with both concepts and factual data.
- Anticipates issues and adjusts or modifies approach to prevent or minimize them.
- Develops systems and procedures to carry out the function of the area.
- Improves process, audits activities for compliance to procedures, policies or regulatory requirements.
- Gathers investigates and analyses information; solves problems and resolves issues by interpreting data, policies, or procedures; recommends action to resolve issues.
- Ensures that all activities are performed in compliance with quality system requirements.
- Apprenticeship as secretary, correspondent or any other business field.
- Organizational skills, data entry, and PC applications skills required.
- Excellent business English communication skills (written and verbal). Additional languages are considered a strong advantage.
- Understanding of the area in which the position functions, typically acquired through extensive business experience, relevant course work or training, and 3- 5 years experience in the functional area.
