Job Description

The PMO Specialist enables effective project and program execution by supporting Program Managers with planning, coordination, tracking, reporting, and day-to-day follow-up across cross-functional teams. The role contributes to PMO governance, portfolio transparency, and continuous improvement by maintaining project management standards, supporting process improvements, and ensuring reliable project data and documentation. In addition, the role may independently lead smaller projects or defined workstreams, ensuring clear scope, stakeholder alignment, disciplined execution, and timely delivery of agreed outcomes.

This is how you make an impact:

  • Support Program Managers in planning, coordinating, tracking, and executing projects, including preparation of project plans, timelines, deliverables, and follow-up actions.
  • Maintain project documentation, status reports, action logs, risk and issue registers, decision records, and other project management artifacts to ensure transparency and traceability.
  • Coordinate day-to-day project activities across cross-functional teams, ensuring timely communication, alignment on priorities, and completion of assigned tasks.
  • Prepare meeting agendas, materials, minutes, and action-item follow-ups for project, program, and governance meetings.
  • Support PMO governance processes by collecting, consolidating, and validating project data for portfolio reporting, dashboards, reviews, and escalation forums.
  • Identify opportunities to improve PMO and project execution processes, support implementation of improvements, and help drive standardization across teams (e.g. by implementing standardized templates, tools, workflows, and best practice sharing).
  • Provide analytical and administrative support for project prioritization, capacity planning, budget tracking, resource coordination, and performance reporting.
  • Lead smaller projects or defined workstreams independently, ensuring clear scope, stakeholder alignment, execution discipline, risk management, and timely delivery of outcomes.

Qualifications

This is why you make the difference:

  • Bachelor’s or master’s degree in business administration, engineering, life sciences, supply chain, operations, or a related field preferred; equivalent relevant experience may be considered.
  • Relevant experience in project coordination, project management support, PMO support, business operations, or a comparable cross-functional role.
  • Strong organizational skills with the ability to manage multiple priorities, follow up on open actions, and maintain accurate project documentation.
  • Good understanding of project management principles, governance routines, milestone tracking, risk and issue management, and stakeholder communication.
  • Proficiency with Microsoft Office applications, particularly Excel, PowerPoint, Outlook, and Teams; experience with project management or portfolio management tools is preferred.
  • Strong communication and interpersonal skills with the ability to collaborate effectively across functions, levels, and geographies combined with Fluent written and spoken English and German.
  • Analytical mindset with the ability to consolidate data, prepare reports, identify trends or risks, and support fact-based decision‑making.
  • Demonstrated ability to work independently, take ownership of assigned tasks or smaller projects, and drive timely completion of deliverables.
  • Experience supporting process improvements, standardization initiatives, continuous improvement activities, or operational excellence projects is preferred.
