Office Coordinator 40% for Academic Work Lausanne

And this is where you come in: we are looking for a 40% Office Coordinator to support the daily life of our Lausanne office.
In this role, you are the central contact point of the office: you ensure everything runs smoothly – from the coffee machine to presentations for the Branch Manager. You are both the logistical conductor, daily problem solver, and guarantor of the office’s smooth operation in front of demanding sales teams. In short, the person without whom the office would not run so well.
Tasks
This role combines various administrative responsibilities and proactive logistical management to ensure the office’s daily smooth running.
- Manage office organisation: supply orders, internal requests (equipment, IT), monitoring consumables, setting up workstations - Be the contact person for external service providers (cleaning, concierge, deliveries, etc.) - Create weekly presentations and support the Branch Manager in communication dissemination - Lead the design and logistics of internal events with unifying energy (from weekly aperitifs to the Christmas party) - Manage office management expenses and coordinate with the Finance team - Monitor and handle contact/info calls and emails
We are looking for
- Ideally, you are:
- A student enrolled for at least another 12 months
- Possessing a true sense of service, able to say no and prioritise
- Organised, responsive and with excellent stress resistance to keep a cool head in the face of unforeseen events and emergencies
- Driven by positive and communicative energy, naturally contributing to a good working atmosphere
- Comfortable with the Google Office suite (Google Sheets, Google Slides, etc.)
- Fluent in French, with a very good level of English (C1)
- Available at 40% (4 shifts per week) with mandatory presence on Thursday afternoons, plus two additional shifts of choice between Mondays, Tuesdays and Thursdays
- Flexible up to 50% during certain periods (end of March for example)
- Motivated to participate in the Branch’s key events (Goal Trip, Summer, Autumn, Christmas)
