Function as primary client liaison and lead for assigned programs. Manage meetings and events from sourcing to planning, delivery of objectives and execution of logistics, while effectively working with clients. Responsible for coordination of program planning from venue sourcing to final billing. Work closely with client contact to understand and meet program objectives/outcomes.
What You’ll Do
- Lead end‑to‑end program delivery, building timelines and workflows to ensure seamless, on‑time execution.
- Oversee full program lifecycle within management systems, from venue sourcing to post‑event reconciliation.
- Source, negotiate, and manage contracts across venues, travel, and third‑party suppliers, ensuring strong partnerships and favorable terms.
- Collaborate cross‑functionally with IT, creative, and internal teams to deliver cohesive program experiences and assets.
- Develop comprehensive itineraries and agendas that capture all logistical and operational requirements.
- Drive communication and alignment across stakeholders, providing regular updates and leading status meetings to ensure milestone achievement.
- Manage complex, large‑scale, international, and executive‑level programs, including VIP logistics and specialized requirements.
- Build and maintain strong client and supplier relationships, delivering high‑touch service and exceptional experience outcomes.
- Own financial management, including budgeting, forecasting, reconciliation, and billing accuracy in partnership with accounting.
- Continuously improve processes and maintain accurate systems, documentation, and compliance with company and client standards.
What We’re Looking For
- Passionate about meetings management and client management experience.
- Strong prioritization skills.
- Excellent written and verbal communication skills.
- Comprehensive Cvent experience.
- Professional proficiency in MS Office applications.
- Proactive approach and forward‑looking project planning.
- Knowledge of the pharmaceutical industry is an advantage but not a requirement.
- Good English skills.
- Native‑level German and strong verbal communication skills.
