Executive Assistant - Family Finance & Lifestyle Manager — Lugano, Switzerland Full-time · Single-Family Office
A single-family office is looking for one person to hold the full picture of a private family's affairs, across banking, healthcare, property, travel, and immigration.
This is a coordination role with genuine authority, not a task-execution role. You'll report directly to the Principal. No institutional layers, no committee approvals.
What you’ll own: Banking & Personal Finance
Full picture of the family's banking across multiple jurisdictions, accounts, cards, RM contacts, and KYC deadlines
Evaluate banking proposals independently, identify misalignments before they reach the principal
Track personal insurance across health, life, property, vehicles, and watercraft
Coordinate personal tax compliance with external advisors, own the process, not the advice
Medical Coordination
Ongoing coordination for a family member, regular appointments, specialist consultations, home care, medications
Cross-border medication logistics in compliance with Swiss regulations
Insurance pre-approvals and claims
Property & Assets
Coordinate maintenance and renovations across residential properties in multiple jurisdictions
Manage vehicle fleet, insurance, registration, servicing
Coordinate acquisition and ongoing management of a lake vessel, registration, insurance, marina, maintenance
Personal Budget & Household Finance
Own the family's personal budget, monthly cash flow, expense tracking across all accounts and jurisdictions
Monthly personal finance summary for the principal
Manage household service payments, reconcile personal accounts with the finance manager monthly
Travel & Lifestyle
Organise complex international travel, private aviation, commercial flights, hotels, ground transport, visas
Maintain relationships with aviation brokers, evaluate options independently
Research and recommend service providers, a clear recommendation, not a list of options
Immigration, Documents & Compliance
Track all document renewals for every family member, residence permits, passports, driving licences, proactively, before anyone asks
Liaise with immigration lawyers and cantonal authorities
Maintain a single consolidated calendar of all compliance and renewal deadlines
What we’re looking for:
5–7 years in private banking, family office, UHNWI advisory, or medical coordination
Direct experience managing personal affairs for a HNW/UHNW principal, not just investment accounts
Structured thinker who delivers recommendations, not option dumps
Deadline ownership, personal registers maintained without reminders
Documentation discipline, knowledge goes into systems, not into one person's head
Russian, fluent (required)
English, fluent, including written (required)
Italian, fluent (required, Ticino-based role)
French or German, an advantage
Swiss residency processes and CH personal tax, a meaningful advantage
