About the Position

Arcadia is seeking a strategic, analytical, and solutions-oriented IT Business Analyst to support the organization’s operational, digital, and process improvement initiatives.

This role serves as a bridge between business needs, technology capabilities, and organizational strategy, helping ensure that Arcadia’s systems, workflows, and digital platforms effectively support its mission and long-term growth.

The IT Business Analyst will work across departments to identify operational challenges, gather and document requirements, improve processes, and support the implementation and optimization of digital solutions, including ERP systems, CMS/web platforms, internal workflows, and reporting tools.

The role combines business analysis, project coordination, stakeholder engagement, and digital transformation support within a mission-driven environment.

Reporting directly to the CTO and working closely with leadership, IT, Operations, and Web teams, the IT Business Analyst will contribute to the modernization and scalability of Arcadia’s organizational processes and digital ecosystem.

This includes supporting website and CMS-related initiatives, analyzing data and reporting needs, documenting workflows and policies, and ensuring that technology solutions align with operational priorities and user needs.

Key Responsibilities

  • IT Business Analysis & Process Improvement
  • Analyze existing organizational processes, workflows, and operational challenges to identify opportunities for improvement, automation, and increased efficiency.
  • Gather, document, and translate business requirements into functional specifications and actionable recommendations.
  • Facilitate discussions with stakeholders across departments to understand operational needs and align solutions with organizational objectives.
  • Develop process maps, workflow diagrams, standard operating procedures (SOPs), and business documentation.
  • ERP, CMS & Digital Platform Support
  • Support the implementation, optimization, and ongoing improvement of ERP, CMS, and digital collaboration systems used by Arcadia.
  • Collaborate with Web and IT teams to enhance website functionality, content workflows, and user experience within the organization’s CMS environment.
  • Assist in evaluating new digital tools, integrations, and automation opportunities that improve organizational efficiency and scalability.
  • Support data consistency and process alignment across systems and departments.
  • Data Analysis & Reporting
  • Analyze operational and organizational data to identify trends, inefficiencies, and opportunities for strategic improvement.
  • Develop reports, dashboards, and KPI tracking mechanisms to support decision-making and organizational transparency.
  • Assist leadership in defining measurable operational and digital performance indicators.
  • Project Coordination & Stakeholder Engagement
  • Support cross-functional projects related to technology, operations, digital transformation, and process improvement.
  • Coordinate project activities, timelines, documentation, and stakeholder communication.
  • Work closely with leadership and department managers to ensure initiatives are delivered effectively and aligned with organizational priorities.
  • Assist with change management and user adoption efforts for new systems and workflows.
  • Governance, Documentation & Compliance
  • Maintain clear documentation of business processes, systems, policies, and operational procedures.
  • Support organizational compliance efforts related to data management, privacy, security, and operational governance.
  • Contribute to the development of internal standards, documentation frameworks, and process governance practices.

Skills and Competencies Required

  • Business & Process Analysis
  • Strong analytical and problem‑solving abilities, with experience assessing workflows, operational structures, and organizational processes.
  • Ability to gather and document business requirements clearly and effectively.
  • Experience creating process flows, documentation, and operational recommendations.
  • Digital Platforms & Systems Knowledge
  • Familiarity with ERP systems, CMS/web platforms, and digital collaboration tools.
  • Understanding of website structures, CMS workflows, and digital content operations.
  • Experience with platforms such as Wix, Odoo, Google Analytics or similar systems is an asset.
  • Understanding of system integrations, automation workflows, and data structures is desirable.
  • Project Management & Coordination
  • Strong organizational and project coordination skills with the ability to manage multiple priorities simultaneously.
  • Familiarity with project management and collaboration tools such as Trello, Jira, Asana, Click Up, or equivalent platforms.
  • Ability to coordinate stakeholders and facilitate collaboration across technical and non‑technical teams.
  • Communication & Stakeholder Management
  • Excellent written and verbal communication skills in English.
  • Ability to communicate complex business or technical concepts clearly to non‑technical stakeholders.
  • Strong interpersonal skills with the ability to build collaborative relationships across departments and cultures.
  • Data & Reporting Skills
  • Experience working with spreadsheets, reporting tools, dashboards, or data visualization platforms.
  • Ability to interpret operational data and provide actionable insights to leadership.

Qualifications

  • Bachelor’s degree in Business Administration, Information Systems, Business Analytics, Technology Management, Operations, or a related field, or equivalent professional experience.
  • Minimum 3 to 6 years of professional experience in IT business analysis, operations, digital transformation, project coordination, or related functions.
  • Experience working with ERP systems (Odoo be a plus), CMS/web platforms, or organizational digital tools are required.
  • Experience supporting website-related initiatives, digital workflows, or CMS-driven environments is highly desirable.
  • Strong documentation and organizational governance experience is highly desirable.
  • Fluency in English (written and spoken).
  • Exceptional interpersonal and communication skills, with a demonstrated ability to build relationships with senior leadership, employees, volunteers, and external stakeholders.
  • Comfortable with part‑time commitment, contributing 8–10 hours (20%) per week, with availability for remote work, selecting your own working hours.
