Join a dynamic organisation dedicated to fostering collaboration among pastoralists, government, industry, and Indigenous communities in the Western Australian outback. This organisation manages the natural resources of 85% of Western Australia, focusing on developing programs that preserve biodiversity, protect habitats of threatened species, and enhance land management practices.

Role Overview: We are seeking an organised and proactive Administration Manager to support the CEO and senior-level managers. This role involves a variety of administrative tasks essential for the smooth operation of the organisation. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent time management and the ability to work independently.

Key Responsibilities:

  1. Manage MYOB software and accounts.
  2. Oversee various software platforms including SharePoint, Teams, and DocuSign.
  3. Facilitate HR functions such as inductions and onboarding as directed by the CFO.
  4. Provide legal assistance as directed by the CEO.
  5. Write and manage processes and procedures.
  6. Enhance efficiencies in the document control system.
  7. Perform secretarial duties as required by the Company Secretary.
  8. Act as the point of contact among executives, employees, clients, and external partners.
  9. Manage board processes, meetings, governance, and secretarial duties, including minute-taking and agenda structuring.
  10. Update actions from meetings and maintain governance registers.
  11. Ensure timely and accurate information flow.
  12. Organise executives’ calendars and set up meetings.
  13. Arrange travel and accommodation.
  14. Maintain office supply inventory.
  15. Coordinate staff and board events.
  16. Format internal and external communications, including memos, emails, presentations, and reports.
  17. Screen phone calls and distribute correspondence.
  18. Assist board members and related organisations as directed.
  19. Support the team with PowerPoint presentations and document formatting.

Requirements

  1. Proven experience as an Administration Manager, Executive Assistant, Personal Assistant, or in a similar role.
  2. Strong knowledge of MS Office 365 applications, including SharePoint and Teams.
  3. Exceptional organisational and time management skills.
  4. Excellent verbal and written communication abilities.
  5. Experience with MYOB software and accounts.
