The Event Production Coordinator supports the coordination and creative execution of onsite and hybrid events and productions for an established global technology client.
- This Role Is Responsible For
- Meeting with requestors to plan and review unique event production needs.
- Providing recommendations on production, technology, and creative enhancements to execute on event vision.
- Partnering with the internal events, client, and event management teams to collaborate on event content and support needs.
- Documenting and communicating all processes and progression throughout the course of each event.

What You Will Do
This role is responsible for
- Serving as the primary production contact for assigned events and meetings from intake through post-event follow-up.
- Leading and executing virtual meeting and live event support across enterprise collaboration and streaming platforms.
- Coordinating production logistics, technical workflows, and stakeholder communications for onsite, hybrid, and remote productions.
- Partnering with client event teams, presenters, and technical resources to ensure successful delivery of business‑critical events.
- Supporting both standard virtual meetings and complex broadcast‑style productions through proactive planning, production oversight, and live event execution.
- Day To Day Responsibilities
- Production Coordination
- Coordinate and execute production support for live, virtual, and hybrid events through professional quality video, audio, lighting, streaming, and presentation delivery.
- Meet with client teams and requestors to understand event scope, audience, technical requirements, and desired outcomes.
- Serve as the primary point of contact for assigned events from initial consultation through live event execution and post‑event follow‑up.
- Provide recommendations on production workflows, platform selection, technical solutions, and creative enhancements aligned to event objectives.
- Coordinate all technical production requirements and ensure compliance with established operational standards, processes, and policies.
- Facilitate equipment rentals, supplemental production requirements, and coordination with third‑party vendors or external speakers as needed.
- Manage event documentation including production briefs, run‑of‑show documents, schedules, technical notes, and stakeholder communications.
- Conduct technical rehearsals, speaker preparation sessions, and pre‑event testing for audio, video, presentations, and connectivity.
- Ensure all event assets, production environments, and meeting spaces are fully tested and operational prior to live events.
- Oversee post‑production activities including recording delivery, basic editing, reporting, and event follow‑up documentation.
- Organize event metrics, attendee feedback, and production reporting while identifying opportunities for continuous improvement.
- Participate in incident response, troubleshooting, and post‑mortem reporting for technical or operational issues.
- Virtual Meeting & Live Event Support
- Independently operate and support virtual meetings, webinars, town halls, and hybrid events across platforms including Microsoft Teams, Teams Town Hall, Zoom, Zoom Events, Vimeo, and similar enterprise technologies.
- Perform producer, host, and administrator responsibilities during live meetings and broadcasts.
- Launch and manage live events including countdowns, backstage coordination, breakout rooms, surveys, polls, and audience engagement tools.
- Support live signal switching and presentation workflows including speaker view, content share, lower thirds, and multi‑source layouts.
- Monitor live event health and backend systems while proactively troubleshooting technical issues in real time.
- Coordinate and manage communication between presenters, stakeholders, and technical teams throughout live productions.
- Support recording workflows, stream monitoring, and content delivery for both live and on‑demand distribution.
- Ensure events are started, managed, and concluded according to operational standards and SLA requirements.
- Team & Operational Support
- Participate in recurring planning, scheduling, and operational meetings to ensure alignment across event teams and production resources.
- Assist with maintaining standardized processes, documentation, and workflow consistency across productions.
- Support scheduling coordination and resource planning activities for assigned events.
- Fill production support roles as needed including basic audio, playback, presentation management, moderation, streaming support, or show‑calling responsibilities.
- Contribute to continuous improvement initiatives focused on operational efficiency, production quality, and customer experience.
- What We’re Looking For
- Must‑have skills & job qualifications
- Very good English and German language skills.
- 3+ years of experience in live event production, event coordination, broadcast, audio/visual, virtual events, streaming, or similar production environments.
- 1+ years of experience supporting onsite, virtual, and hybrid live events.
- Experience with enterprise collaboration and streaming platforms.
- Knowledge of traditional event production, broadcast workflows, and digital production technologies.
- Familiarity with platforms such as Microsoft Teams, Zoom, Teams Town Hall, Vimeo, or equivalent technologies.
- Strong organizational and communication skills with the ability to manage multiple simultaneous priorities.
- Ability to maintain composure and professionalism during high‑pressure live event situations.
- Ability to communicate technical concepts and production requirements clearly to clients and presenters.
- Strong attention to detail with an understanding of what works effectively in live and broadcast‑style productions.
- Ability to work independently while collaborating effectively within cross‑functional production teams.
- Strong customer service mindset with an understanding of white‑glove executive support expectations.
- Consistent proactive preparation and timely communication across multiple stakeholders and channels.
- Nice‑to‑have skills
- Knowledge of live streaming workflows, signal routing, video switching, and remote contribution technologies.
- Experience supporting multilingual, hybrid, or large‑scale enterprise events.
- Experience in production roles including technical directing, playback operation, audio mixing, moderation, or editing.
- Familiarity with event analytics, reporting, and SLA‑driven operational environments.
- College degree in video production, broadcasting, communications, event technology, or similar field.
- Other Requirements
- Travel is required based on requirements and location of productions and service needs including meetings at client offices and AVI‑SPL offices.
