Job Overview
The Executive Assistant supports the Co‑Market Head Switzerland in driving operational efficiency, strategic initiatives, and leadership coordination across the Swiss market, with a particular focus on the development and growth of the Geneva branch. Responsibilities
Manage the Co‑Market Head’s calendar proactively: schedule meetings, prioritise appointments, and resolve conflicts. Prepare agendas, briefing materials, presentations (PowerPoint/Excel), and talking points for internal and external meetings. Organise travel arrangements, including itineraries, visa requirements if applicable, accommodations, and expense reporting. Serve as gatekeeper by screening calls and emails, handling sensitive correspondence, and ensuring timely follow‑up. Act as liaison between headquarters and the Geneva office, ensuring alignment on policies, communications, and change initiatives. Collaborate with key internal stakeholders, including Compliance and Legal departments, regarding documentation and approvals. Monitor key performance indicators (KPIs) for the Geneva branch; compile weekly/monthly reports. Facilitate internal governance processes: organise regional management committee meetings, track action items, and maintain meeting minutes and follow‑ups. Assist in executing local growth strategies under the guidance of the Co‑Market Head. Identify opportunities for process improvements and digital transformation. Maintain strict confidentiality of all matters. Qualifications
Bachelor’s degree in business administration, International Relations, or a related field. Minimum of 5 years’ experience in an executive support or business coordination role, preferably within private banking or financial services. Ability to travel regularly between Zürich and Geneva. Proven ability to work effectively in a senior executive environment with discretion and professionalism. Strong understanding of wealth management business models, organisational structures, and key drivers of performance. Fluency in English and German (written and spoken); French language skills are a strong advantage. Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Organisational excellence: ability to multitask efficiently while maintaining accuracy and attention to detail. Initiative & problem‑solving: anticipates needs and proposes solutions without constant supervision. Communication skills: clear, concise, and diplomatic communicator across levels and cultures. Team collaboration: works well both independently and as part of cross‑functional teams. Discretion & integrity: handles confidential information with utmost sensitivity and trustworthiness.
