Our client is a well-established Family Office in Geneva, looking for a Senior Operations Officer, Reporting and Financial Controlling for the Private Markets division.
Reporting directly to the Senior Management, the Senior Operations Officer will oversee the family office’s entire operational infrastructure, including financial closing. This is a unique and autonomous role that works closely with the investment teams on data and reporting, while remaining independent in its execution. This is a rigorous, hands‑on operational role focused primarily on cash management, data control and reliability, with a focus on accounting as well as IT tools and automation.
Key Responsibilities Cash Management & Cash Flow Management
Monitoring capital calls, executing payments, and tracking cash balances (consolidated position) and the cash buffer.
Managing investment‑related banking transactions (subscriptions, capital increases, divestitures) and maintaining relationships with banks.
Proactively managing short‑term investments (money market funds, time deposits, etc.) in collaboration with depositary banks and under the supervision of the Managing Director.
Control, Reconciliation, and Data Quality
Reconciliation of cash flows between the portfolio tracking tool, the accounting records (maintained by the trustee), and the various family office accounts, with systematic reconciliation of accounting balances.
Monitoring the consistency of performance metrics (NAV, IRR) and their accounting traceability; detecting and correcting inconsistencies and verifying figures provided by service providers.
Reporting and Support
Preparation of cash flow reports, including recent history and a 12 to 18 months forecast.
Preparation of portfolio monitoring reports, keeping track of benchmarks.
Preparing supporting documents for the Audit Committee and the Board (review of valuations, performance calculations, and presentation of accounting positions and financial statements).
Improving operational KPIs, monitoring processes, and data analysis (automation, AI, etc.).
Forecasting, Modeling, and Budgeting
Short‑term cash flow forecasting (solicitation of investments and funds) and long‑term modeling (deployment and distribution scenarios).
Monitoring the operating budget throughout the year and reconciling budgeted versus actual accounting figures.
Accounting, Consolidation, and Financial Closings
Oversight of accounting for the family office’s various entities (day‑to‑day bookkeeping handled by the trustee): review of journal entries, verification of correct account assignments for transactions, and ensuring the quality, consistency, and completeness of accounting information.
Active management of quarterly and annual closings: preparing and overseeing closing documentation, coordinating with the trustee and the auditor, ensuring deadlines are met, and resolving technical issues.
Gradual takeover and preparation of the financial consolidation across entities (investments, holding companies, various investment portfolios).
Accounting processing and tracking of private markets transactions: capital calls, subscriptions, capital increases, divestitures, distributions, valuations, and fair value entries.
Compliance and Management of Service Providers
Overseeing the fiduciary, legal and tax advisors: submitting and classifying documents, responding to accounting and tax inquiries.
Management of KYC/AML requests and subscriptions.
IT Tools and Automation
Administration and development of the portfolio tracking platform (configuration, maintenance).
Implementation of new processes and automations.
Qualifications
Master’s Degree in Finance, Economics or any related field.
5 to 10 years experience in an operational role within Private Markets, in an Investment Fund or in a big4 company working in Transaction Services or Audit for Financial Markets division.
Experience in Fund accounting/controlling/operations for Private Equity or Asset Management in general is a must (Swiss GAAP RPC a plus).
Hands‑on operational & accounting expertise with a sense of innovation for IT optimization will be appreciated.
Fluency in French and English is a must.
