BAT GERMANY IS LOOKING FOR AN EXECUTIVE ASSISTANT (M/F/D)

SENIORITY LEVEL: Junior management

FUNCTION: General Management

LOCATION: Hamburg, Germany

REPORTS TO: Commercial Director BU Germany

ROLE POSITIONING AND OBJECTIVES

The executive assistant to the Commercial Director Germany and the Area Head of Talent, Culture & Inclusion (=HRD) at BAT plays an instrumental role in supporting their executives in their roles. The executive assistant takes over smaller responsibilities, such as projects, handles day-to-day items, and helps organize events/activities while attending meetings, writing notes, and following up on key actions with the relevant stakeholders.

WHAT YOU WILL BE ACCOUNTABLE FOR:

  1. Executive Support & Project Management
    • Act as a trusted partner to the two executives, also providing critical insights & feedback.
    • Manage projects and initiatives as assigned by the Commercial Director & HRD, ensuring timelines are respected by all parties involved.
    • Support the two executives in running their leadership meetings, own the meeting, take minutes, and follow up on actions.
    • Collate and analyze data using pre-set tools, methods, and formats.
    • Prepare & review presentations, reports, or other documents for the two executives needed for decision-making.
  2. Communication

    • Draft, review, and manage correspondence and communications on behalf of the Commercial Director & HRD.
    • Serve as a point of contact for other executives, employees, stakeholders, and external partners.
    • Facilitate communication and collaboration across departments.
    • Handle confidential information and sensitive issues with discretion.
  3. Operational Management
    • Organize and coordinate meetings, including preparing agendas, note-taking, and ensuring follow-up on action items to be completed in a timely manner.
    • Oversee daily operations of the executives’ offices, ensuring efficient workflows.
    • Develop and implement processes and systems to improve operational efficiency.
    • Manage the two schedules, including appointments, meetings, travel arrangements, and expenses.
    • Classical office management duties: Ordering office supplies, mail, records management, welcoming visitors.

ESSENTIAL EXPERIENCE, SKILLS AND KNOWLEDGE

  • Bachelor’s degree in Business Administration, Management, or a related field.
  • 2-3 years of professional experience, ideally in FMCG or another big corporation.
  • Independent working, flexibility, resilience, prioritization & exceptional time management.
  • Good communication skills especially with senior stakeholders.
  • A high level of discretion, integrity, and appropriate assertiveness in coordinating and cooperating with all levels of an organization.
  • Ability to handle multiple tasks and projects simultaneously in a highly ambiguous environment.
  • Solid analytical and critical thinking skills.
  • Excellent MS Office skills.
  • Very good proficiency in both English & German.
