My client, a U.S. based, globally-established and growing law firm are seeking a detail-oriented and proactive accountant/legal billing specialist to join their finance team.
Role Overview
Approximately 60% of this role is dedicated to billing: owning the monthly billing cycle, issuing accurate and timely client invoices, and managing receivables. The remaining 40% covers key financial processes, ensuring accuracy, compliance, and efficiency across accounts payable, cash management, and regulatory reporting. This role is critical in maintaining the financial integrity of the firm and supporting audit and compliance requirements.
Key Responsibilities
- Prepare, review, amend, and finalise client invoices in accordance with Partner instructions and client-specific billing guidelines.
- Own the monthly billing cycle, including pre-bill review of time entries and work in progress (WIP), and liaise with fee earners and billing partners on adjustments and write-offs
- Maintain client and matter billing set-up, including rates, fee arrangements, billing instructions, and client-specific invoice and e-billing requirements
- Process credit notes, rebills, and invoice adjustments, ensuring appropriate approvals and correct VAT treatment
- Monitor outstanding receivables and aged debt, follow up on overdue invoices, and report on collections to partners and finance leadership
- Reconcile the billing ledger to the general ledger and prepare billing and WIP reports (e.g. aged WIP, realisation) for management
- Respond to client and internal billing queries promptly and professionally
Accounting and Compliance
- Manage the Accounts Payable function, including invoice processing, approvals, and supplier payments
- Oversee cash receipts and ensure accurate and timely posting of client and office account transactions
- Perform bank reconciliations and resolve discrepancies promptly
- Prepare and submit VAT returns in compliance with regulatory requirements
- Assist with internal and external audits, including preparation of supporting documentation
- Maintain accurate financial records and ensure compliance with legal and regulatory standards, including Solicitors Accounts Rules
- Support month-end and year-end closing processes, including billing cut-offs and revenue/WIP reconciliations
- Liaise with internal stakeholders and external partners
Requirements
- Proven experience in a similar billing role within a law firm
- Hands-on experience in legal billing, including pre-bill review, invoicing, and collections
- Strong understanding of Accounts Payable, cash handling, reconciliations, and VAT is an advantage
- Experience supporting audits and working with auditors
- Familiarity with local accounting issues and regulations
- Knowledge of legal accounting rules and client account management is an advantage
- Excellent attention to detail and organisational skills
- Proficiency in Microsoft Excel and accounting software (Elite 3E, particularly its billing modules, would be an advantage)
- Strong communication and problem-solving abilities, including confidence working with fee earners and partners on billing matters
