Providing high-level organizational and administrative support to the executive team including calendar management, travel arrangements, expense reporting / accounting, and event organization.
Acting as the interface between the management and internal / external stakeholders (e.g., board members, investors), managing information flow and ensuring timely and effective communication as well as monitoring of deadline compliance.
Coordinating internal meetings and events such as Strategy Off-Sites, ELT Meetings & Roadshows, as well as our Board Summit (4 times a year) including travel management for all participants.
Preparing and editing correspondence, communications, transcripts, presentations, and other documents, and managing their filing in various systems.
Collaborating closely with our finance and legal department and also with our support function teams (e.g., Marketing, People & Culture, Sales).
Supporting special projects and initiatives as needed.
Establishing and maintaining communication with clients and cooperation partners to foster long-term relationships and drive company growth.
The following will make you succeed in this role:
- At least 10 years of experience as an Executive Assistant, Management Assistant, or similar role – preferably in a tech company and/or in a corporate environment.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) as well as familiarity with project management tools and virtual meeting platforms.
- Ability to work autonomously, detail-oriented with strong problem-solving and excellent time management skills.
- Maintaining discretion and confidentiality.
- Strong ability to manage multiple priorities in a fast-paced environment.
- Excellent communication skills and a confident and engaging manner for effective interaction with C-level executives, board members, and external stakeholders.
- Fluency in German and English as well as the ability to work with people from different national and international locations.
