We are seeking a dynamic and highly organized Executive Assistant to support our leadership team and help keep our operations running smoothly. In this versatile role, you’ll manage calendars, communications, and day-to-day priorities for C-level leaders, while also taking an active role in office management and event coordination. This role requires a high level of attention to detail and the ability to prioritize effectively in a dynamic environment. The role is onsite: 5 days a week, distributed between our Wollerau and Zurich office. Key Responsibilities
Manage and coordinate calendars for C-level executives, including scheduling meetings, appointments, and travel arrangements Serve as the first point of contact for internal and external communications on behalf of leadership Organize executive-level meetings, prepare agendas, and take meeting minutes when needed Maintain clear records and documentation for executive schedules and company matters Anticipate executive needs and proactively address administrative issues Oversee general office management tasks, including supplies, facilities, and vendor coordination Organize internal and external events, such as team offsites, leadership workshops, and client meetings Candidate Profile
Minimum 5 years of prior experience in a Personal or Executive Assistant role Strong organizational and multitasking skills with the ability to prioritize effectively Excellent verbal and written communication skills in English and German Discretion and trustworthiness when handling sensitive information Proficiency in MS Office (Outlook, Word, Excel, PowerPoint) or equivalent tools Strong time management and problem-solving skills Nice to have
Experience working with international teams or across time zones Background in business administration, project coordination, or customer support Interest or experience in the logistics, tech, or supply chain sector
