Through your rigour and sense of welcome, you actively participate in the quality of services offered to the population.To complete its administrative team, the Municipality of Chavannes-près-Renens is advertising the position of: Administrative Assistant at 80% i.E. 32 hours per week In this role, you will notably be responsible for:Ensuring physical, telephone and email reception of users with professionalism, kindness and confidentiality; Identifying theneeds of users, providing them with initial useful information and directing them to the appropriate contacts; Receiving, verifying, recording, filing and following up on requests, documents and administrative files; Writing and formatting various letters, emails, certificates, decisions, minutes and other administrative documents; Participating in the processing and administrative follow-up of financial documents, including invoices, expense claims, quotes and orders; Preparing files, documents and materials necessary for interviews, meetings, encounters and activities of the service; Organising internal and external meetings, managing invitations, agendas, availabilities, preparatory documents and logistical aspects; Writing minutesor reports, ensuring their distribution and monitoring the administrative follow-up of decisions taken; Contributing tothe updating of monitoring tables, statistics, management tools and reference documents necessary for the smooth running of the Service; Ensuring the document management of the Service, including filing, archiving and organising physical and digital files; Ensuring compliance with internal procedures, confidentiality and data protection rules.Your profile:You have a strong sense of public service, enjoy contact with the population and demonstrate great rigour in the administrative processing of files.
