Office Manager: DACH (Maternity Cover – 15 months FTC)
Ebury Düsseldorf Office : Office based, covering Frankfurt & Zurich offices remotely
Position
In this role, you will provide a focal point for our front-of-house and office operations for our Düsseldorf, Frankfurt & Zurich offices, ensuring a world-class office experience for our people and guests. You will deliver outstanding assistance to Ebury employees and visitors daily.
Responsibilities
- Office management
- Deliver a first-class workplace experience for our employees, both office- and home-based workers, and for guests of our offices
- Manage inbound communication channels and correspondence, including phone calls, mailboxes, and packages
- Assist in the maintenance and upkeep of premises and equipment, liaising with contractors as required
- Manage facilities contract services: building maintenance, purchasing, post room, security, cleaning, waste management, stationery, plants, coffee machine, pest control, environmental and building consultancy services
- General office duties: meeting room management, conference calls, invoices, supplies, stock management, business cards, company merchandise, social events, parties, engagement activities, courier bookings, etc.
- Support ad hoc HR tasks
- Coordinate moves and projects
- Manage opening/closing of offices
- Maintain landlord relationships
- Assist with marketing events and engagement activities
- Support health and safety programs and policies for office and home workers
- Assist with staff training on health & safety
- Assist with ad-hoc travel bookings for ExCo members as needed
Skills, Experience & Knowledge
- Experience in office administration, reception, events, and purchasing in a corporate setting
- Facility, health, and safety experience; IOSH certification is a plus
- Hospitality experience is beneficial
- Excellent interpersonal skills and ability to work collaboratively
- Strong English communication skills, both oral and written
- Excellent organizational and time management skills
- Friendly, proactive, and able to take initiative
- Capable of multitasking and remaining calm under pressure
- Ability to work in a fast-paced environment and meet deadlines
