EMEA Recruitment has partnered with an international manufacturing company in its search for an experienced Executive Assistant to support a senior regional President, based in Geneva. This highly visible role sits at the heart of the organization, providing comprehensive support to a senior executive operating across multiple countries and time zones. The successful candidate will play a critical role in enabling executive effectiveness by seamlessly coordinating calendars, travel, stakeholder communications, leadership meetings, and strategic priorities. The position offers the opportunity to work closely with senior leadership in a dynamic, international environment where professionalism, discretion, and proactive support are highly valued.
Role Overview As a trusted partner to the President, you will manage complex schedules, coordinate international travel, prepare executive and board materials, and ensure the smooth flow of information between key stakeholders. You will anticipate needs, solve problems proactively, and help maximize the President’s time and focus. This role requires exceptional organizational skills, strong business acumen, and the ability to operate confidently and independently in a fast‑paced environment.
Key Responsibilities
Proactively manage a complex executive calendar across multiple time zones, ensuring priorities are effectively aligned and conflicts are avoided
Coordinate international travel arrangements, including transportation, accommodation, visa requirements, and travel documentation
Process travel expenses accurately and in accordance with company policies
Organize and support leadership meetings, business reviews, executive forums, and team events
Prepare presentations, reports, and board materials to support executive decision‑making
Manage confidential information with the highest level of discretion and professionalism
Act as a key liaison between the President and senior internal and external stakeholders
Provide ad‑hoc administrative and personal support as required
Support selected senior leaders with travel coordination, expense management, and meeting logistics
Collaborate with HR and office management teams to support employee engagement activities and office initiatives
Candidate Profile We are looking for a highly organized and proactive Executive Assistant who thrives in a fast‑moving international environment and takes pride in enabling leaders and teams to succeed. Key requirements include:
A minimum of 5 years’ experience in a similar Executive Assistant position supporting senior executives
Strong experience managing complex calendars, travel arrangements, and executive priorities
Excellent organizational and project coordination skills with exceptional attention to detail
A proactive and solutions‑oriented mindset with a strong sense of ownership
The ability to anticipate needs and act with urgency while maintaining accuracy
Outstanding interpersonal and stakeholder management skills
The ability to remain calm and effective when managing changing priorities and last‑minute requests
Complete discretion and a proven ability to handle sensitive information confidentially
Excellent written and verbal communication skills in English; French language skills would be advantageous
