HR Operations Specialist (m/f/d) in Ulm

We are looking for an HR Operations Specialist (m/f/d) to support our team with day-to-day administrative tasks. In this role, you will be the reliable backbone of our HR operations. Your main focus is to ensure precision, compliance, and smooth execution within our established HR workflows and systems:

• Data Maintenance: Responsible for keeping all employee records up to date in our HR system
• HR Document Management: Generation and tracking of contract addendums, reference letters, and standard HR certificates in accordance with existing guidelines and templates.
• Time-Tracking: Systematic review of time-tracking data for accuracy and completeness, ensuring alignment with internal working hours policies.
• Execution of operational HR processes: Supporting daily HR operations across key areas (onboarding, offboarding, leave tracking, Recruiting administration) and ensuring existing policies are consistently maintained.
• Administration: Handling routine administrative queries from employees and team leads regarding employment terms and operational HR procedures.

What they're looking for

• Initial experience in HR administration or a general office/administrative role (e.g., through an apprenticeship, internship, or entry-level position).
• Initial experience with HR software. Experience with Personio is a plus
• Highly conscientious, structured, and dependable with strong attention to detail.
• You enjoy routine administrative tasks, value clear structures, and thrive in an environment with established processes.
• Very good knowledge of German and English speaking and writing.
