EPFL is implementing a new institutional framework for managing complaints related to personality violations and conflict management. You will first support its implementation, then ensure its operational management and daily coordination. Your role guarantees the proper coordination of the various internal and external stakeholders and ensures that this framework remains accessible, understandable, and service-oriented for the entire community.
This is a role with significant human impact, at the intersection of organisation, collaboration, and discernment, for someone who can combine procedural rigour with situational awareness.
Main Tasks and Responsibilities
Management and Coordination
- Ensure the operational coordination and daily monitoring of the system, cases, actions, and decisions, respecting deadlines and institutional procedures. - Coordinate the internal, coherent, diligent, and confidential handling of situations referred by the external body responsible for receiving complaints and conducting preliminary investigations, notably by convening the internal committee that analyses the investigation and its recommendations. - Serve as a point of contact and guidance for the main internal stakeholders and the external body. - Prepare and coordinate governance meetings of the system, draft minutes, and ensure traceability of follow-up and decision elements.
Cross-functional Collaboration and Continuous Improvement
- Work closely with units responsible for prevention, support, and assistance to ensure a coordinated and coherent approach. - Structure, document, and develop procedures, tools, and coordination methods of the system. - Participate in the evolution of the institutional framework for managing personality violations.
Reporting
Contribute to data consolidation, monitoring of indicators, and institutional reporting related to personality violations.
Profile
- University degree or equivalent in human resources, occupational psychology, management, occupational health, or a related field. - Experience in coordinating cross-functional systems or process management, ideally in an institutional environment or in supporting sensitive situations. - Experience in project management or continuous improvement is an asset. - Excellent organisational, coordination, and structuring skills for complex processes. - Service orientation and user experience awareness. - Very good interpersonal and communication skills in French and English, with ease in collaborating with diverse interlocutors in a sensitive environment. - Strong sense of confidentiality, discernment, and ethics, analytical mindset, and ability to synthesise.
