Job Summary We are looking for an exceptionally organized and proactive
Executive Assistant
to support our Division Head. In this highly visible role, you will be the driving force behind seamless calendar management, strategic scheduling, and high‑level coordination across senior leadership. You turn complexity into clarity.
Responsibilities
Own and manage the Division Head’s complex and ever‑changing calendar with precision and foresight.
Coordinate and prioritize meetings across multiple stakeholders, including meeting rooms and internal resources.
Organize and support larger division‑wide meetings and sessions.
Take responsibility for end‑to‑end event management including scheduling, logistics and budget for events such as Christmas parties, offsite and team‑building activities.
Support daily and monthly administrative and operational tasks of the whole division (physical and digital mail, travel expenses, time bookings and attendance approvals).
Keep the home base organized and welcoming.
Requirements
Completed commercial education, experience with office management and/or as an executive assistant or comparable qualification.
Fluency in German and English.
Confident use of MS Office (Outlook, Excel, Teams and SharePoint).
Excellent organizational and time management skills, structured way of working.
High level of loyalty, reliability and a friendly, clear communication style.
Resilient, flexible and team‑oriented.
Ability to operate with absolute discretion and handle sensitive information.
Strong sense of ownership, responsibility and service orientation.
