Task Coordination Specialist (f/m/d) in Schenefeld

European XFEL is an international non-profit company located in the Hamburg area in Germany. It operates a 3.4 km-long X-ray laser, which produces X-rays of unique quality for studies in physics, chemistry, the life sciences, materials research and other disciplines. The diverse scientific facilities at European XFEL enable scientists from across the globe to carry out a wide range of experimental techniques.
For our Industrial Liaison Office group we are looking for a
The Position Support the coordination of PRIME-ARI WP3 development of training material and LEAPS-TECH WP8 industrial outreach activities
Monitor work plans, deadlines, deliverables, milestones and partner contributions
Organise meetings and prepare agendas, minutes and follow-up actions
Liaise with project partners, stakeholders and subject-matter experts
Collect, structure and consolidate technical and administrative contributions
Support project reporting, documentation, communication and European events
Prepare training materials based on content supplied by responsible experts and supervisor
Edit materials for consistency, accessibility, modularity and online use
Coordinate the review, piloting and refinement of training materials
Engage relevant suppliers, companies and technology providers, identified by the ILO process
Organise industry–research-infrastructure workshops and bilateral meetings
Research market opportunities and collect stakeholder and supplier feedback

Projects LEAPS TECH (GA No: 101262866) and PRIMEARI (GA No: 101291154) Requirements University degree or equivalent qualification and relevant experience
Relevant experience in project or multi-partner activity coordination
Ability to monitor deadlines, deliverables and partner contributions
Experience consolidating information provided by multiple experts
Experience preparing reports, presentations or training materials
Experience organising workshops, meetings or professional events
Experience engaging external stakeholders, preferably including industry
Excellent written and spoken English
Strong organisational, communication and intercultural skills
Very good digital skills, including the use of standard office software (Microsoft office) and collaboration and document-management platforms
Ability to work independently and obtain appropriate expert validation
Willingness to undertake occasional project-related travel in Europe
Desirable: experience with EU projects, research infrastructures or training
Desirable: experience in industry liaison, innovation or technology transfer
