You will act as a trusted partner to the People Culture leadership team, helping maintain momentum on key priorities, anticipating operational needs, and contributing to a positive employee experience across a dynamic, international environment. /p pYou will manage a broad range of responsibilities, including complex calendar coordination, executive correspondence, meeting preparation, travel logistics, and internal engagement events. /p pIn addition to daily operations, this role offers genuine opportunities to develop and grow. You will take ownership of continuous improvement initiatives, coordinate cross-functional People Culture projects, and progressively expand your scope and impact across the organisation. /p pbMISSIONSAND RESPONSIBILITIES: /b /p pbExecutive Administrative Support /b /p ulliProvide high-level, proactive administrative and operational support to the Chief People Culture Officer. /liliManage complex, shifting executive calendars across multiple international time zones, resolving scheduling conflicts proactively. /liliCoordinate meetings, prepare agendas, compile briefing packs and presentations, track action items, and ensure thorough follow-up. /liliDraft, screen, and manage executive communications and correspondence, ensuring critical priorities are flagged and deadlines met. /liliOrganize end-to-end travel arrangements, itineraries, and logistics. /liliHandle sensitive, confidential People Culture matters with the highest degree of discretion and integrity. /li /ul pbStakeholder Relationship Management /b /p ulliAct as the primary, trusted point of contact for the Chief People Culture Officer with internal and external stakeholders. /liliFoster strong working relationships with senior leaders, committee members, and staff across global offices. /liliDeliver clear, diplomatic, and solutions-oriented communication tailored to diverse audiences. /liliRepresent the People Culture function with professionalism, warmth, and a strong customer-service mindset. /li /ul pbEngagement, Events Teams Coordination /b /p ulliLead the planning and execution of People Culture events, leadership workshops, and internal employee engagement initiatives. /liliOversee event logistics end-to-end, including venue sourcing, supplier management, agendas, invitations, and attendee follow-up. /liliProvide flexible operational support to the wider People Culture team during peak activity periods. /liliFacilitate departmental alignment by tracking key milestones and team-wide objectives. /li /ul pbPeople Culture Projects Continuous Improvement /b /p ulliSupport and take ownership of projects across the People Culture portfolio, including DEI initiatives, employee engagement, workplace enhancement, and organizational culture. /liliDefine project milestones, manage deliverables, monitor dependencies, and ensure momentum from concept to rollout. /liliContribute proactively to strategic discussions, progressive departmental initiatives, and change-management programs. /li /ul pbPROFILE: /b /p ulliUniversity degree in Business Administration, Human Resources or a related field /liliMinimum of 5–7 years of experience as an Executive Assistant, Senior Assistant, or HR Project Coordinator supporting senior executives, ideally within an international and fast-paced environment. /liliProven track record in complex calendar management, executive logistics, and meeting governance. /liliPractical experience coordinating cross-functional projects, internal events, and stakeholder workstreams. /liliHigh digital proficiency with MS 365, SharePoint, Teams, PowerPoint and collaborative tools. /liliEmotional intelligence, diplomatic judgment, and absolute discretion with confidential HR data. /li /ul pbDeadline to Apply: /b September 16th, 2026 /p pbIdea starting date between October 15 th and November 1 st 2026 /b /p pThe FIA is an equal opportunity employer committed to building a diverse and inclusive workforce. /p pWe welcome and encourage applications from all qualified candidates. /p /p #J-18808-Ljbffr
