The role
The Principal is a university professor with combined teaching, research, and clinical responsibilities who is also a founder, board member and advisor of several technology startups. This portfolio gives rise to a demanding and highly fragmented schedule spanning academic, medical, and entrepreneurial commitments.
The Executive Assistant provides comprehensive support to the Principal, ensuring that communication, scheduling, and logistics are managed reliably across all areas of responsibility. The position requires a high degree of independence, organization, and discretion, and offers exposure to the intersection of academia, medicine, and technology entrepreneurship.
Responsibilities
The Executive Assistant will be responsible for:
- Correspondence — managing, prioritizing, and drafting email and written correspondence in German and English on behalf of the Principal.
- Schedule management — maintaining a complex, multi-context calendar, resolving scheduling conflicts, and safeguarding time across academic, clinical, and business commitments.
- Meeting preparation — preparing agendas, briefing documents, and supporting materials in advance of meetings.
- Travel planning and booking — arranging domestic and international travel, including itineraries, accommodation, and associated logistics.
- Reimbursement and administration — preparing and monitoring expense claims and reimbursements, and handling related administrative matters.
Requirements
Candidates are expected to demonstrate:
- Full bilingual proficiency — near-native written and spoken command of both German and English, with consistently precise and professional communication in each language.
- Outstanding organizational ability — the capacity to manage competing priorities, plan ahead, and ensure reliable follow-through.
- Discretion and integrity — the role involves confidential academic, medical, and commercial information; absolute reliability and confidentiality are essential.
- Sound independent judgment — the ability to make decisions autonomously and to recognize which matters require the Principal's attention.
- Digital proficiency — confident use of calendar, email, travel, and expense-management tools, and the ability to adopt new systems quickly.
- Adaptability — the ability to move effectively between academic, clinical, and commercial environments.
Previous experience as an executive or personal assistant, or in a comparable coordination role, is considered a significant advantage.
