Event Manager

The Event Manager role is ideal for someone with corporate event experience who is eager to apply their passion for events and leadership skills in a fast-paced events environment.

Reporting to the Global Head of Events, you will oversee the success of our summit preparation, onsite execution, and post-event delivery while leading our team of Event Coordinators.

You will ensure seamless communication with sponsors, third-party vendors, and event venues, drive operational excellence, and play a key role in delivering exceptional summit experiences from start to finish.

This is a fully in-office role for the first six months of employment. Following this period, employees are eligible for up to 7 remote work days per month on Mondays and Fridays

  • Candidates must be willing and able to be on their feet for extended periods of time.
  • Candidates must be able to lift up to 10-20 pounds during live events

Skills Desired

  • 5+ years of corporate event coordination or event management experience
  • Strong written and verbal communication skills with a professional and diplomatic approach
  • Exceptional organization, administrative, and time management skills with the ability to manage multiple priorities
  • Strong Excel skills with the ability to manage data, reporting, and event-related tracking
  • Salesforce experience is considered a strong asset
  • Proven ability to take ownership of projects and deliver successful outcomes
  • Experience leading, mentoring, and delegating tasks while supporting team members
  • Ability to assess risks, anticipate challenges, and proactively plan solutions
  • Strong negotiation skills with experience managing vendor relationships and contracts
  • Ability to manage budgets, track expenses, and make cost-effective decisions
  • Understanding of revenue-driving strategies and the ability to collaborate closely with Sales teams to achieve business objectives
  • Solutions-oriented with the ability to remain calm and effective under pressure
  • Experience sourcing, evaluating, and negotiating supplier and vendor contracts
  • Strong attention to detail with the ability to review agreements and ensure accuracy
  • Tech-savvy with the ability to implement tools and process improvements
  • Willingness to take a hands-on approach and support wherever needed
  • Professional, mature, and composed with a confident approach
  • German language proficiency is considered an asset but is not required

Key Responsibilities

  • 70% Administration and Event Preparation / 30% Onsite Execution
  • Oversee event operations across the Generis portfolio, ensuring successful preparation, execution, and post-event delivery.
  • Manage and audit event databases, ensuring accuracy, completeness, and consistency across Event Coordinators, Senior Event Coordinators, and Customer Success Coordinators.
  • Monitor event timelines and key deliverables, ensuring teams remain on track with deadlines, approvals, event details, and operational requirements.
  • Provide guidance and oversight to coordinators, ensuring event logistics including F&B, AV, floorplans, room blocks, and supplier requirements are accurately planned and executed.
  • Manage event budgets throughout the event lifecycle, identifying cost-saving opportunities, monitoring spend, and ensuring financial accuracy.
  • Review supplier quotes, contracts, and invoices to ensure all agreements align with event requirements and negotiated terms.
  • Coordinate with hotels, vendors, sponsors, and internal stakeholders to ensure seamless communication and successful event delivery.
  • Lead onsite event execution, overseeing setup, live operations, and teardown while ensuring all details are delivered as agreed upon.
  • Handle onsite challenges and high-pressure situations with professionalism, resolving issues directly with hotel management, sponsors, delegates, and suppliers.
  • Oversee sponsor and delegate deliverables, ensuring a high-quality attendee experience and successful execution of contracted commitments.
  • Support the scheduling and execution of 1-2-1 meetings, achieving 100% of scheduled meetings and a minimum of 80% of contracted meetings.
  • Monitor key event performance metrics, including delegate attrition, preference completion, and client engagement targets.
  • Collaborate with Sales and internal stakeholders to support revenue objectives, improve event outcomes, and identify opportunities for growth.
  • Represent the Operations team in cross-functional meetings when required, providing updates and supporting strategic initiatives.
  • Complete additional administrative and operational responsibilities as needed.
  • Daily Tasks May Include
  • Lead, mentor, and support the Operations team, ensuring tasks are executed effectively and stepping in where needed.
  • Set clear objectives, monitor daily and event milestones, and ensure key deliverables are achieved on schedule.
  • Manage event timelines, budgets, and master databases, conducting regular audits to maintain accurate records.
  • Review event logistics, including food & beverage, floor plans, room blocks, and other operational details to ensure readiness.
  • Negotiate with hotels and third-party vendors, review contracts, and ensure all agreements accurately reflect event requirements and expectations.
  • Review supplier quotes and invoices, oversee vendor relationships, and manage event-related expenditures.
  • Oversee all onsite event operations, ensuring every aspect is delivered as contracted and maintaining seamless communication with hotels, sponsors, vendors, delegates, and internal teams.
  • Resolve onsite issues calmly and proactively, handling high-pressure situations directly with hotel management, sponsors, delegates, and suppliers to ensure a successful event experience.
  • Oversee the scheduling and execution of one-to-one meetings, achieving 100% of scheduled meetings and at least 80% of contracted meetings.
