Your responsibilities:
Independent coordination and organization of the administrative day-to-day business, e.g. appointment management, processing of e-mails, incoming and outgoing mail, ordering and monitoring office supplies for the Section.
Supporting the section management (on site at the GFZ and at FU Berlin), e.g. organizing business trips in Germany and abroad, and managing the section budget.
Correspondence and communication in German and English, translation work from German to English or English to German.
Support in preparation and follow-up of events (e.g. section meetings, seminars, workshops).
Supporting our national and international staff members, visiting scientists and interns during the onboarding process.
Maintenance of our section website and the GFZ publication database.
Assistance in the coordination of the annual reports between the section management and the department management (e.g. third-party funding, statistics).
Assistance and coordination of internal maintenance and general technical services at the GFZ for the section.
Your qualifications:
- You have completed commercial or administrative vocational training (e.g. degree as a state-recognized foreign language secretary) or an equivalent qualification with a certificate/proof of a B2 level in English.
- You are comfortable working in both English and German.
- You already have some experience in secretarial work or working as an assistant.
- A forward-looking, results-oriented mindset coupled with enthusiasm and an open-minded approach to new and changing activities characterizes you.
- You have excellent communication and teamwork skills as well as a precise, independent and structured way of working.
- You are familiar with the common office applications (Word, Excel, PowerPoint, Outlook).
- The contact with people from different countries and cultures and interest to take care of a large diverse team is something you look forward to.

The position is classed as salary group 8 according to "TVöD Bund (Tarifgebiet Ost)". The salary group is determined on the basis of the Collective Wage Agreement and the respective personal qualifications.
