This position is for a one-year contract from the date of hire with an option for renewal in Berlin.
Job Summary:
The program assistant’s role is to support the work of the Geostrategy Hub. This includes mostly organizational and administrative tasks such as support for event and project management as well as data management. Some of the main tasks are the overview of invitation management, information gathering for briefings, and logistics. Research tasks and budget oversight can also fall within the scope of this position. The majority of the work is done independently or in coordination with colleagues, final decisions are taken by the relevant supervisor.
Essential Duties/Responsibilities (in order of importance):
- Comprehensive event management (research topics and speakers; draft invitation texts; send out and manage invitations; coordinate event logistics, often in conjunction with external partners; create run-of-shows; process invoices)
- Support of the Office Director in fundraising activities – tracking external engagement & recordkeeping in Dynamics
- Maintain and update Dynamics
- Project management (drafting project proposals and budgets; serving as logistical POC)
- Recruitment process for interns and program assistants (review applications; schedule & attend interviews; make offer; connect with HR &Berlin office management)
Knowledge and Skills Needed:
- A demonstrable interest or background in International Relations with a focus on U.S.-German politics and culture is an advantage
- Previous experience in event and project management is an advantage
- Research skills and analytical capabilities on foreign policy and transatlantic policy issues can be advantageous
- Strong verbal and written communication skills in German and English
- Ability to work in a small team and independently
- Ability to handle multiple projects, priorities, and deadlines
- Flexible with working hours as evening or weekend events may occur
- Willingness and ability for independent learning
- Ability to compile power point presentations
Education: MA degree in International Relations, North America Studies or a related field
