In this role you own and optimize time-related administrative processes for internal and external staff within the IT Executive Office at EEX Group. You ensure policy and labor compliance, maintain SAP-based workflows, and support changes with clear documentation. You drive operational excellence, audit readiness, and continuity during transitions. You join a dynamic, international team to strengthen governance and processes that enable value delivery in the energy market.

Verantwortungsbereiche

  • Own time-related administrative processes for staff and time booking structures
  • Ensure compliance with labor regulations for working hours, holidays, sickness, shift planning and overtime
  • Maintain structured maintenance and documentation for system usage
  • Standardize and improve administrative processes for clarity and audit readiness
  • Own process documentation, guidelines and FAQs for transparency and knowledge continuity
  • Manage employee-related admin workflows (reimbursement, travel, expenses) in line with controls
  • Serve as procedural point of contact for administrative questions
  • Oversee admin processes for non-strategic IT goods, services and tools per IT/procurement standards
  • Manage subscriptions and access for platforms/tools to ensure controlled usage
  • Support implementation/adoption of new tools/processes affecting multiple teams
  • Ensure operational continuity during transitions through reliable process ownership
  • Contribute to IT Executive Office reliability and efficiency through disciplined execution
  • Support collaboration, knowledge sharing and a stable team operating model

Zentrale Anforderungen

  • Several years of professional experience in administration, operations, PMO, workforce administration or similar support functions
  • Proven experience improving administrative processes, documentation and governance activities
  • Experience with SAP and other enterprise tools; strong affinity for systems and data quality
  • Solid understanding of workforce administration and employee-related processes
  • Strong organizational, structured, reliable and detail-oriented mindset
  • Excellent communication and stakeholder management across teams and levels
  • Proficiency in Microsoft 365 (Excel, PowerPoint, Outlook, Teams, SharePoint)
  • Knowledge of Jira and Agile methodologies is a plus
  • Fluent English; German and/or French is a strong plus
