Administrative Support (60-100%) Hansa Aktiengesellschaft is seeking a proactive and highly organised Administrative Support professional to provide day-to-day administrative assistance across the Group. The role supports the smooth operation of the office and works closely with the finance, legal and management teams in a dynamic international environment.
Key Responsibilities
Provide general administrative support to a number of legal entities in Switzerland and abroad
Coordinate meetings, calendars and travel arrangements
Prepare, format and maintain correspondence, presentations and corporate documents.
Maintain accurate filing systems, records and databases
Assist with document management, contracts and corporate records
Coordinate with external service providers and business partners
Support invoice processing, expense administration and general office coordination
Assist with Board and committee meeting logistics and documentation
Undertake ad hoc administrative and organisational tasks as required
Profile
Previous experience in an administrative, executive support or office management role
Excellent organisational skills and strong attention to detail
Ability to manage multiple priorities in a fast-paced environment
Professional, discreet and reliable with a service-oriented mindset
Strong written and verbal communication skills in English; German is an advantage
Proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint)
Ability to work independently while collaborating effectively within a small, high-performing team
