Responsibilities

As a Project Assistant within Hines' Design & Construction team, you will support the commercial and administrative delivery of construction and development projects in Munich. Hines' Design & Construction teams work across the lifecycle of our real estate projects, partnering closely with development, investment, asset management and external consultants to deliver high-quality, innovative and sustainable places. In this role, you will provide project-wide commercial coordination, support procurement and commissioning activities, maintain accurate budget and invoice information, and help strengthen the processes and quality standards that underpin effective project delivery. Responsibilities include but are not limited to:

  • Provide cross-project commercial and administrative support for construction projects.
  • Prepare recommendations for contract awards and support the preparation and administration of appointments and orders.
  • Support the continued development of quality standards relating to appointments and commissioning.
  • Process and coordinate project invoices.
  • Maintain the Alasco project management tool, including budgets, orders/contracts and invoices.
  • Manage guarantees and sureties.
  • Support process improvements relating to appointments, procurement and invoice processing.
  • Collaborate with internal project teams and external stakeholders to support the efficient delivery of projects.

Qualifications

Minimum Requirements include:

  • Successfully completed commercial/business-related vocational training or equivalent qualification, for example in office administration, business administration, foreign-language administration or hospitality management.
  • Initial professional experience in a comparable project assistant, commercial administration, construction support or project coordination role.
  • Experience supporting construction, development or real estate projects would be advantageous.
  • Very good knowledge of standard Microsoft Office applications.
  • Good written and spoken English; German fluency is expected for the Munich-based role.
  • Highly organised, with a structured and reliable approach to work.
  • Strong communication and teamwork skills.
  • High level of commitment and ability to work proactively.
  • Strong attention to detail, particularly when working with budgets, contracts and invoices.
  • Experience with Alasco or comparable project management / cost management systems would be advantageous.
