The position is attached to the Department of Surgery. This department provides care for patients both electively and in emergencies. It represents a centre of excellence, not only Swiss but also European, in several fields and in many of its surgical specialties.
Assistant to the Head of Nursing - 80%
You provide essential administrative support to the head of nursing. You ensure the smooth running of the secretariat by managing the diary, messaging, and priorities autonomously, while preparing strategic files and materials necessary for decision-making.
You coordinate a wide network of internal and external contacts, organise high-level meetings, and draft reliable and confidential minutes. You also manage the administrative follow-up of staff from their arrival to their departure, ensuring a professional and attentive welcome.
As the privileged interface of the Department of Surgery, you relay information clearly, participate in certain meetings, and contribute to maintaining smooth communication within the organisation. You organise business travel, support the organisation of internal events, and ensure budget compliance.
You participate in the monitoring of cross-functional projects, coordinate the involved actors, and handle administrative and financial processing, including expense claims and invoice validation. Finally, you guarantee the confidentiality of sensitive information and know how to respond calmly and effectively to unforeseen events.
Furthermore, you collaborate cross-functionally and smoothly with the secretariat of the two deputy heads of nursing. Your good knowledge of activities allows you to cover for your colleague to ensure continuity of service.
Qualifications
You hold a diploma or a commercial employee CFC or a higher administrative qualification such as a Federal Certificate of Assistant to Management or an equivalent title.
You have 3 to 5 years of experience in a similar position or in an executive secretariat.
You have an excellent command of written and spoken French as well as very good IT skills.
You have very good knowledge of IT tools. In this respect, you hold the ECDL advanced level for Word, Excel, and PowerPoint. Ideally, you are proficient in the software used at HUG such as Vision RH and Qualiac.
You have strong writing skills and ease in interpersonal contacts.
You have a high level of interpersonal skills.
You are proactive and a source of proposals. While having a good sense of organisation and priorities, you are autonomous, rigorous, and precise in the tasks entrusted to you and have a keen sense of confidentiality.
