The objectives of the diagnostic department of the Geneva University Hospitals (HUG) (comprising 9 medical services) are to provide diagnostics, therapeutic products, therapeutic procedures, and specialised clinical consultations of high medical quality, within the shortest possible time and at an acceptable cost, to guide patient care and contribute to therapeutic decisions and actions. It develops a clear vision: to unite and be a centre of excellence in medico-technical disciplines for the benefit of patient care. The nuclear medicine and molecular imaging service has the primary mission of providing clinical diagnostic services using molecular imaging technologies, particularly those using radioactive sources administrable to patients. In addition to the services provided by other HUG departments, it uses radioisotopes for therapeutic purposes and for certain laboratory tests. It offers scintigraphy, single-photon emission tomography (SPECT), or positron emission tomography (PET or "PET scan") examinations. The service also develops new tracers and biomarkers applicable to molecular imaging and provides, through specific devices (X-rays, ultrasounds), services for the diagnosis of osteoporosis and the assessment of body composition.
Hospital-University Executive Secretary - 50% or 70%
You assist several healthcare executives, including doctors and team leaders, with the administrative management and organisation of the service in clinical, academic, and research fields, ensuring the interface between the different professional sectors. You organise appointments, meetings, and seminars by managing the electronic calendar of these healthcare executives. You prepare files, write meeting minutes, and coordinate the follow-up of decisions made. You work in coordination with the assistant to the chief medical officer and replace them as necessary. While responding to various requests, you independently carry out administrative activities related to your role such as managing doctors' schedules (VRH), administrative management of private or faculty funds, organising medical congresses and symposia, providing administrative support to the service executives' projects, and monitoring the budget allocated to the service and research. You demonstrate proactivity in performing logistical tasks arising from secretarial life, such as orders, requests for hiring, reimbursement, or training. Within the team, you develop a close relationship with your fellow secretaries, ensuring continuity of service during absences. More generally, your service-oriented attitude makes you an agile and diplomatic person.
Qualifications
You hold a diploma from a business school and advanced administrative training such as a federal certificate as an executive assistant. You have at least 3 years of successful experience in a similar position in the medical or public health sector. You have perfect command of French, both spoken and written, and proven writing skills. Medical terminology is easily understandable to you. Mastery of a foreign language is a real asset. You have very good knowledge of IT tools (ECDL standard/advanced level on Word, Excel, PowerPoint, Outlook and/or Web) as well as software used at HUG (DPA, DPI, OPALE, GRECO, Winscribe and Laboratory Request). You also have the tools to handle unforeseen events and thus easily manage stressful situations proactively. Finally, you demonstrate a keen sense of discretion and confidentiality.
