Job Description
In your new role you will:
- Manage the end-to-end process of work pass applications, renewals, cancellations, and appeals (e.g., Employment Pass, Dependent Pass, Work Permit, etc.).
- Liaise with relevant vendors, government agencies (e.g., Immigration Department of Malaysia, Expatriate Services Division (ESD), etc.) to ensure timely approvals and compliance.
- Provide guidance to internal stakeholders and new hires on work pass eligibility and application procedures.
- Maintain accurate records and monitor expiration dates to ensure timely renewals or terminations.
- Ensure all processes and documentation comply with local employment laws and immigration regulations.
- Assist in audits or inspections related to work pass compliance.
- Stay updated on changes in immigration and labor laws and communicate updates to the team.
- Support HR TA in foreign hires hiring, such as speeding up work pass application processes.
- Handle inquiries or issues related to work passes with discretion and professionalism.
- Coordinate temporary and long-term accommodation for foreign hires.
- Raise and manage Purchase Requisition (PR).
- Handle invoices verification, approval coordination, ensure accuracy, and coordinate with Finance team for timing processing and payment.
Your Profile
You are best equipped for this task if you have:
- Bachelor’s Degree, Post Graduate Diploma or professional Degree in any field, preferably in Human Resources or Business-related studies.
- Minimum 1 year of relevant job experience.
- Minimum 10 years of job experience for employees with a diploma.
- Able to speak fluently in English; proficiency in Bahasa Malaysia & Thai is an advantage.
- Willing and able to travel independently within Malaysia for immigration related topics (e.g., Immigration Department, police station, etc.)
- Customer service and public relations methods and techniques.
- Proficient in computer systems, MS Excel, MS Word, MS Powerpoint.
- Good problem-solving skills and organization skills.
- Ability to inform the manager quickly of potential issues related to work.
- Ability to learn new skills quickly with minimal supervision.
- Possesses good and hands-on knowledge and skills in HR systems (SAP, GMDS, Applicant Tracking System – Umantis & EightFold).
