Job Summary
An opportunity to join Insulet as Sales and Marketing Assistant providing essential administrative and operational support to the DACH Sales, Marketing, and Leadership teams, ensuring the smooth running of business processes, events, travel, purchase orders, invoices, and team coordination. This role also supports the General Manager, DACH, while serving as a key partner to the wider commercial organization. The Sales and Marketing Assistant provides comprehensive administrative and operational support to the DACH commercial organization, including Sales, Marketing, and Leadership teams across Germany, Austria, and Switzerland. Based in Frankfurt, this role plays a key part in ensuring the smooth day-to-day running of the business through effective coordination of administrative processes, event logistics, travel arrangements, vendor management, purchase orders, invoice processing, and team support. The role also provides administrative assistance to the General Manager, DACH, as required.
Responsibilities
Provide administrative support to the DACH Sales, Marketing, and Leadership teams. Support the General Manager, DACH with calendar management, meeting coordination, travel arrangements, and other administrative tasks as required. Manage shared team inboxes and ensure timely routing and follow-up of communications. Coordinate the creation, tracking, and processing of purchase orders (POs), invoices, and vendor documentation. Support budget administration by maintaining records and tracking invoices and payments. Coordinate internal and external meetings, including room bookings, catering, agendas, attendee communications, and IT requirements. Organize team events, customer meetings, congresses, and other corporate events across the DACH region. Arrange domestic and international travel and manage related expense reporting. Maintain departmental trackers, SharePoint sites, and administrative records. Support onboarding activities, including coordinating equipment, mobile phones, laptops, and business cards for new starters. Prepare presentations, reports, correspondence, and other business documents as required. Serve as a key point of contact for the DACH commercial teams, helping to resolve administrative and operational matters. Support special projects and business initiatives as required. Perform additional duties as assigned.
Education and Experience
Minimum Requirements Several years of experience in an Administrative Coordinator, Executive Assistant, Office Manager, or similar role. Experience supporting multiple stakeholders and teams within a fast-paced business environment.
Preferred Skills and Competencies
Highly organized with exceptional attention to detail. Strong administrative, coordination, and multitasking skills. Experience managing purchase orders, invoices, vendor relationships, and budget tracking. Ability to work independently, prioritize effectively, and exercise sound judgment. Strong communication and interpersonal skills. Proficient in Microsoft Office applications and collaboration tools such as SharePoint. Demonstrated problem-solving and project coordination capabilities. Flexible, proactive, hands-on and customer-service oriented.
