Employment Type: Permanent Contract Duration About The Team You Are Joining IATA Events provide organizations active in air transport with an essential arena for insight, discussion and cooperation on industry-related issues. You will join the IATA Event Operations team as Assistant Manager Event Operations and therefore work in a fast pace, multi-disciplinary and diverse environment. If you have excellent organizational and communication skills, a high-level of initiative and strong cultural awareness, enjoy engaging with internal and external stakeholders and are interested in events and in the air transport industry, we strongly encourage you to apply to this position. You will report to the Senior Manager Event Operations, and will be supporting the administration, operations and logistics of the annual global IATA events.
What Your Day Would Be Like As an Assistant Manager Event Operations, you'll play a pivotal role in delivering seamless and impactful events. Your day will be dynamic and varied, including:
Building and managing event registration websitesusing CVENT, ensuring a smooth attendee experience from start to finish
Coordinating sponsor activities, from processing contracts to managing registrations and ensuring visibility across all event touchpoints
Handling venue and supplier logistics, including contracts, payments, and ongoing coordination to keep everything on track
Managing grants administration, ensuring accurate data coordination and timely reporting
Collaborating with internal stakeholders, incl. core teams and support functions, aligning on event goals, deliverables, and timelines
Overseeing host airline agreementsin SAP and LCP, ensuring compliance and smooth execution
Maintaining the exhibitor portal, keeping content up-to-date and supporting exhibitor needs
Producing and managing SPEX brochures, working closely with design and content teams
Providing on-site event support, being the go-to person for operational excellence during live events
Tracking accruals and budgets, ensuring financial accuracy and transparency
Drafting pre- and post-event communications, including “Know Before You Go” guides, event app content, and MC notes to ensure everyone is informed and engaged
Leading assigned projects from A to Z, ensuring successful planning, execution, and delivery, while overseeing the quality of work performed by other team members (coordinators, interns)
We would love to hear from you if
You hold a university degree in a related field (marketing, event management, business) and you have 2-5 years of experience in a related field
You master MS Office (Excel, Word, PPT, etc.), and you have ideally knowledge of SAP, Power BI and HTML/SharePoint
You have experience working with CVENT registration platform
You can prioritize multiple projects, are highly organizational and can take care of detailed administrative tasks
You easily adapt to workload and work under pressure with proactivity, positive mindset and problem-solving attitude
have excellent English writing skills and good attention to details
You can travel on site of the events
