Assistant to the Deputy Director & Project Coordinator – Maternity Cover

The Assistant to the Deputy Director & Project Coordinator serves as a member of the school\’s administrative support team. The role requires the person to support the implementation of key strategic objectives, coordinate priorities and manage school-wide projects. In addition, they perform a variety of administrative tasks for members of the senior leadership team and serve as a liaison between students, staff and parents. The Assistant to the Deputy Director reports to the Deputy Director.
This is a part-time role (90%) to cover a 3 months maternity leave (from August 2025 until October 2025) . There may be an opportunity for the successful candidate to transition into a supporting role within our Admissions and Advancement Team.

The Assistant to the Deputy Director & Project Coordinator is expected to:

Project management

  • Manage on-going school accreditation studies and updates
  • Compile data from a variety of sources to support organisational accountability and learning
  • Manage projects, as assigned within a yearly cadence, aligned with strategic objectives
  • Support the Deputy Director’s communication and objectives
  • Manage the professional learning database

Scheduling and coordination for Deputy Director

  • Be the primary point of contact for external queries and engagement
  • Respond to a wide variety of internal inquiries, providing information and/or referring them to appropriate personnel
  • Manage weekly schedule and organise meeting logistics, as needed (e.g. conference spaces, food/beverage, resources, etc)
  • Lead logistical planning for whole-school time-bound events such as professional development, orientation days, speakers, and consultants
  • Coordinate external commitments, travel and accommodation
  • Coordinate the Music Academy’s semester calendars and teachers’ lesson timetables

Budget Management

  • Collate and reconcile budget sections assigned to the Deputy Director
  • Manage personal professional learning accounts
  • Update the Music Academy’s rates and collect necessary data for invoicing purposes. Responsible for the record-keeping of student lessons pertaining to invoicing
  • Submit monthly timesheets and manage salary approvals for theMusic Academy Programme

Database and School Technology Administration Management

  • Responsible for Managebac\’s yearly Academic rollover, support with school-wide curriculum updates, and creation and assignment of for teachers and student accounts.
  • Serves as a member of the Data Protection Team. Assist school-wide objectives and support with complying with all Swiss and necessary International data protection laws.

Front Office Support

  • Support the Front Office team members with items when required.

Required and Preferred Qualifications

  • Excellent verbal and written communication skills in English. German is an added value.
  • Strong interpersonal skills and ability to communicate with a wide variety of people at all levels
  • Proficiency in using standard office suites for business such as Microsoft Office and Google Workspace and demonstrated knowledge of database maintenance
  • Effective clerical, organisational and time management skills
  • Able to maintain confidentiality at all times
  • Quick learner, able to use appropriate initiative, resourceful, reliable and detail-oriented
  • Eager to take on new challenges and lend a helping hand
  • Able to manage a variety of tasks concurrently and efficiently
  • Successful experience in working effectively as part of a team
  • Able to be self-directed and work with minimal supervision
