For one of our clients, we are looking for a Chief Executive Assistant to the founder, who would be at the center of fast-paced activities, responsible for coordinating all administrative support for the Executive and his family. The ideal candidate will be a seasoned manager, master of logistics planning, who has the ability to anticipate needs, incredible attention to detail, and flawless execution of multiple priorities with the ability to delegate across a team of EAs.
What you will be doing:
- Lead a team of assistants across multiple time zones, coordinating their work and delegating tasks while ensuring quality control and flawless execution.
- Coordinate Executive’s calendar, meeting schedule, events, travel, etc. with a constantly changing schedule.
- Organize and prepare domestic and international flight itineraries including flights, hotels, transportation, and expenses while considering required travel visas, costs, and proper documentation.
- Assist with on-site logistics for events including attendees, agenda planning, F&B, and other business-related meetings and event activities as needed.
- Lifestyle support for Executive’s family: doctor appointments, purchasing, arranging home care and preparation, etc.
- All other administrative and project duties as requested.
What you bring:
- Successful experience as an EA supporting C-level Executive/s.
- Minimum three years of experience leading a team of Executive Assistants with proven project management skills.
- Proficiency in Microsoft Outlook (calendaring), Word, Excel, and PowerPoint.
- Impeccable attention to detail, strong organizational skills and ability to structure and prioritize work in a fast-paced environment while handling multiple tasks concurrently.
- Service-oriented mindset, responsiveness and ability to switch gears at a moment’s notice.
- Ability to proactively anticipate needs without being asked or directed.
- Exceptional verbal, written, and interpersonal communication skills with impeccable attention to detail.
- Sound judgement and high integrity with ability to handle confidential information with discretion.
- Flexibility to work across multiple time zones, be available on-demand (24×7).
- Fluent in English, Russian is an advantage.
- Ability to travel 50 – 70% of the time.
