We are currently looking for a Facilities Coordinator in Berlin.
Your Tasks:
- Provide superior customer service to meet on-site client’s expectations
- Maintain role as primary contact for service requests generated by the client’s staff. Proactively meet withClient’s local Management on scheduled basis. Communicate regularly with the client’s Management and staff, providing necessary support and information on the status of all areas under his management
- Manage supplier contracts and hold regular (minimum monthly) meetings with supplier representatives, ensuring that agreed operational (supplier KPI’s) and financial (cost vs Budget) performance is achieved for each contract.
- Develop a close working relationship with all of the vendors under his/her control to ensure that they fully understand the Client culture and are made to feel part of the team delivering a high-quality service
- Assist in the procurement of vendors and services as required
- Act as primary contact for assigned site’s contractors and vendors
- Manage the financial processes to ensure that all financial management requirements are completed in a timely and accurate manner
- Ensure prompt and accurate management of purchase orders in JDE
- Conduct regular audits to ensure safety procedures on site are in place and working
- Assist in carrying out safety procedures when needed
- Develop, gain consensus for, and implement the Best Practice/ Building Operation Plan for assigned portfolio
- Conduct site inspections and assessments to ensure all building procedures and performance measures are maintained at all times
- Seek ways to constantly reduce costs and improve operational standards
- Assist to all defined services to ensure they are completed in accordance with all operating procedures, statuary requirements, and within the Health and Safety guidelines
- Assist on the site operations team performance, absences coordinator and monitor, regular catch-up in order to provide an excellent service delivery and customer care
- Maintain premises in neat and good working condition at all times
Your profile:
- Excellent people skills and ability to interact with a wide range of client staff and demands
- Able to communicate strong in local language and on extended “English” language level
- Knowledge of Occupational Safety requirements & Works Council Relationship
- Strong PC literacy and proven ability to manage daily activities using various systems
- Knowledge of quality management and KPI measurement
- Knowledge of vendor management for specialized services
- Proven capacity to understand and interpret commercial contracts and relevant terms
- Budget management and financial analysis skills
- Move and relocation management and delivery
- Experience in facilities, property management, hospitality or related field
