- Manage the end-to-end Medical, Legal, and Regulatory review process for promotional and non-promotional materials.
- Partner with Marketing, Medical, Legal, Regulatory, Market Access and other cross-functional stakeholders.
- Route materials, manage review timelines, track comments and decisions, and facilitate issue resolution.
- Coordinate MLR review meetings, agendas, material prioritization and review expectations.
- Report on MLR pipeline volume, status, cycle times, expirations and outstanding actions.
- Administer Veeva PromoMats and maintain asset records, metadata, approvals, version control and the commercial asset library.
- Manage approved-material lifecycles, including expiration, extension, reapproval, withdrawal and retirement.
- Support PromoMats workflows, reporting, user processes, system issue resolution, onboarding and training.
- Own conference logistics, sponsorship coordination, booth planning, attendee registration, hotel/location logistics and financial approvals.
- Coordinate commercial meetings, events, trainings, business meetings, advisory or customer-facing programs and congress activities.
- Manage venues, vendors, attendees, registration, materials, audiovisual needs, catering, contracts, purchase orders, invoices and budgets.
- Maintain meeting timelines, project plans, execution checklists and centralized event calendars.
- Improve MLR, asset-management and meeting-management processes; develop SOPs, job aids and templates.
- Establish and monitor operational KPIs and support additional Commercial Operations initiatives.
Requirements
- Bachelor’s degree required.
- 4+ years of experience in pharmaceutical, biotechnology, medical device or another highly regulated industry preferred.
- Experience supporting Medical/Legal/Regulatory review processes strongly preferred.
- Hands-on experience with Veeva PromoMats or Veeva Vault strongly preferred.
- Experience coordinating corporate meetings, commercial meetings or events preferred.
- Strong project-management and organizational skills with demonstrated ability to manage multiple concurrent priorities.
- Ability to work effectively across Marketing, Medical, Legal, Regulatory, Market Access, Sales and other functions.
- Strong attention to detail and commitment to process discipline and compliance.
- Ability to identify potential issues early, escalation appropriately and drive issues through resolution.
- Strong written and verbal communication skills.
- Comfortable operating in a fast-paced, evolving biotechnology environment where responsibilities may expand as the organization grows.
