- Provide legal support to the in-house counsel
- Support the general handling of legal matters in the real estate sector
- Prepare pleadings, legal statements, and opinions
- Conduct legal research in tenancy law, construction law, condominium law (WEG law), and land registry law
- Conduct preliminary reviews of claims, warnings, and defect notices
- Handle digital and written correspondence
- Review and process incoming beA messages
- Send documents via beA in court and out-of-court correspondence
- Draft, finalize, and send documents by post
- Manage files and documents and maintain digital files in SharePoint
- Manage deadlines and appointments, including maintaining and updating the deadline register
- Prepare and organize the weekly deadline review meeting
- Maintain digital contract databases
- Initiate payments and review incoming payments
- Review and process invoices under the German Lawyers’ Fees Act (RVG) and German Court Fees Act (GKG)
- Prepare applications for the assessment and fixation of costs
- Review cost assessment orders and attorneys’ invoices
- Support the management of outstanding claims arising from tenancy and ancillary-cost arrangements
- Monitor outstanding receivables
- Draft payment reminders and installment payment agreements
- Prepare judicial dunning proceedings and enforcement measures
- Review payment arrears and coordinate with the accounting department
- Prepare and support dunning and litigation proceedings
- Communicate with external attorneys, courts, and authorities and document the proceedings
- Over time, prepare analyses and reports for receivables management
- Analyze receivables data and maintain status information in the management system
- Ensure consistent, up-to-date, and traceable data records
Requirements
- Completed training as a legal assistant, paralegal, or comparable qualification
- Experience in receivables management, ideally in the real estate sector
- Structured, meticulous, and independent working style
- Interest in real estate and legal matters
- Confident use of beA, MS Office, and digital file structures and tools such as SharePoint
- High level of reliability, sense of responsibility, and discretion
- Strong communication skills and enthusiasm for collaborative teamwork
