- Organise, track, and maintain the firm's state/territory registrations and mobility licenses across relevant jurisdictions
- Maintain accurate databases and electronic legal files, including naming conventions, version control, and retention
- Assist with compliance documentation and regulatory filings
- Conduct first-line reviews of first-party and third-party contracts using firm playbooks and AI-assisted tools
- Analyse contractual deviations from approved company templates and playbooks
- Coordinate negotiations with internal stakeholders and external counterparties
- Educate internal stakeholders on negotiation expectations and rules
- Respond to client due diligence questionnaires and client onboarding requirements
- Own the Legal Department's ticketing and intake system
- Triage legal requests based on complexity, risk, and urgency
- Monitor service levels and ensure timely responses
- Maintain reporting metrics, dashboards, and workflow performance measurements
- Improve legal intake and service delivery processes
- Liaise with Administrative, Finance, Operational Services, Growth, and other teams on contracting, billing, and collections-related legal matters
- Assist with insurance documentation, vendor forms, and operational requests
- Coordinate with outside counsel on intellectual property registrations and other external legal matters
- Conduct basic legal research and fact-finding
- Support the General Counsel and Chief Operating Officer with merger and acquisition activities, document organisation, due diligence, and transaction deliverables
- Assist with special projects, audits, and Legal function initiatives
- Manage calendars, correspondence, and follow-ups related to legal matters
- Schedule meetings and prepare materials for legal discussions
- Maintain confidentiality of sensitive firm and client information
Requirements
- Certificate or diploma in Legal Studies, Paralegal Studies, or a related field
- 2-4 years of experience providing administrative or legal support in a law firm, in-house legal department, or professional services environment
- Experience supporting legal functions within a global organisation or professional services firm preferred
- Experience supporting legal intake, contract lifecycle management, or legal ticketing systems preferred
- Experience working with Artificial Intelligence technologies preferred
- Understanding of legal terminology, legal office procedures, and contract law
- Familiarity with corporate governance requirements, licensing, and regulatory compliance processes
- Working knowledge of intellectual property filings, basic research methods, and legal documentation standards
- Familiarity with emerging artificial intelligence technologies and desire to expand knowledge and practical application of AI-driven tools and systems
- Strong written and verbal communication skills; ability to draft clear correspondence and documentation
- Excellent organisational and time-management skills with the ability to prioritise multiple deadlines
- Strong attention to detail, accuracy, and quality control
- Research and information-gathering skills, including the ability to synthesise information
- Ability to work independently while maintaining alignment with the Legal team and other stakeholders
- Strong interpersonal skills with the ability to collaborate across legal, administrative, operational, and finance teams
