Your work in partnership with Senior Management in Corporate & Investment Bank (CIB) Operations supports the delivery of key business objectives. As an internal Operations Assistant, you will enable seamless execution of strategic priorities through proactive coordination and trusted support. As a Business Assistant within our CIB Operations team, you will provide high-level administrative and operational support in a fast-paced environment. You will manage complex calendars, coordinate travel, and ensure smooth day-to-day operations in close collaboration with another assistant. Your work directly contributes to leadership effectiveness by anticipating needs, streamlining processes, and maintaining confidentiality. This 19-hour-per-week role is ideal for someone seeking greater responsibility while continuing to grow within the company.
Job responsibilities
- Own and prioritize Senior Management’s diary, schedule meetings, and prepare briefing materials.
- Arrange domestic and international travel, including itineraries, accommodations, and ground transportation.
- Organize leadership meetings, prepare agendas, take minutes, and track action items.
- Screen and manage emails, calls, and correspondence with discretion and professionalism.
- Draft, format, and proofread reports, presentations, and internal communications.
- Identify and implement improvements to administrative workflows and operational efficiency.
- Manage sensitive data with the highest level of integrity and confidentiality.
- Liaise with internal CIB teams and external partners to support leadership initiatives.
- Process expense reports, track budgets, and ensure compliance with company policies.
- Assist with ad hoc projects and strategic initiatives as directed by Senior Management.
- Coordinate tasks, share coverage, and ensure seamless support across the executive office.
Required qualifications, capabilities, and skills
- Fluent in German and English (written and spoken).
- Proven experience in an administrative or operations support role at an executive level.
- Strong organizational skills with the ability to manage multiple priorities.
- High level of discretion and professionalism when handling confidential information.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
- Ability to work independently and anticipate leadership needs.
- Strong attention to detail and commitment to accuracy.
- Internal company knowledge and established cross-functional relationships.
- Flexibility to adapt to changing priorities in a dynamic environment.
