What we’re looking for:
We are seeking a highly organized and proactive Administrative and Finance Assistant to support our General Manager (GM) and handle a range of administrative and financial tasks. This is a part-time role, requiring you to work between 1-3 days a week, with a flexible working schedule and fully remote setup. However, occasional in-person meetups with the GM may take place.
What you may need to succeed:
The successful candidate for this role will need to demonstrate:
- Organizational Expertise: Exceptional skills in scheduling meetings, managing the GM’s calendar, and organizing travel and accommodations, both domestically and internationally.
- Proactive Support: Ability to anticipate the GM’s needs, assisting with day-to-day functions such as running errands, dealing with government departments, banks, filing documents, and coordinating tasks.
- Financial Acumen: Strong capability in bookkeeping, managing invoices, handling expenses, and communicating with tax consultants.
- Data and Records Management: Proficiency in managing data, setting reminders, maintaining reports, and ensuring important documents are properly filed and easily accessible.
- Administrative Proficiency: Familiarity with Microsoft 365 for tasks such as creating quotes, contracts, managing forms, and processing documentation.
- Communication and Coordination: Ability to liaise effectively between departments and stakeholders, including finance and facilities teams, with strong communication skills in both English and German.
- Multitasking: Ability to handle a variety of tasks in a fast-paced environment.
- Discretion: High level of confidentiality in handling sensitive financial and administrative matters.
- Problem-Solving: A resourceful and independent approach to challenges.
- Technical Skills: Proficient in Word and Excel (including basic Excel formulas and functions). Familiarity with Lexware/Lexoffice is an added advantage.
What you’ll be doing:
- Calendar and Diary Management: Coordinating and managing the GM’s schedule, including internal and international appointments.
- Travel Arrangements: Organizing travel for the GM, ensuring alignment with their schedule and preferences.
- Administrative Tasks: Providing general support, managing emails, drafting communications, and organizing documents.
- Financial Responsibilities: Handling invoicing, bookkeeping, tracking expenses, and sending reminders to stakeholders.
- Liaison with Global Finance Team: Communicating with the global finance and admin teams on administrative and financial matters.
- Communication with Tax Consultants and Government Departments: Ensuring accurate documentation and communication with external tax consultants, banks, and respective government departments.
- Report Generation: Compiling reports from various systems and presenting data for informed decision-making.
- Filing and Documentation: Maintaining organized records and filing documents efficiently.
- Facilities Support: Acting as a backup for facilities-related issues as needed.
- Miscellaneous Support: Running errands and performing ad-hoc tasks to ensure smooth daily operations.
Additional Information:
- Part-Time Role: You will work remotely 2-3 days per week, with occasional in-person sync-ups as needed.
- Language: Fluency in English and German is required for this role.
